Administrative Assistant Position Summary

Under supervision of the Office Administrator, the Administrative Assistant controls and administers the processing of inventory and company funds. Responsibilities include invoicing of customers, issuing of customer statements and adherence to accounts receivable guidelines.  Maintains and manages physical assets of the location including the worksite and vehicles for a distribution center selling Hispanic branded meats and cheeses.

Job Description Key Responsibilities and Accountabilities Daily sales route settlement Regular inventory of routes and cold storage facilities Finished goods inventory controls and proper handling of product Assists Administrator with fixed asset tracking and physical counts Proper maintenance of petty cash account and weekly reconciliation Accounts receivable – collections and application of funds including cash, checks and money orders Processing of credit memos for advertising, promotional activity, pricing and inventory/order returns Coordinates fleet maintenance and maintenance of warehouse equipment Filing of regulatory licenses and permits Weekly bank reconciliations Accurate processing of accounts payable and expense reimbursement Address internal audit findings to ensure action plan is developed, approved and executed Develop and maintain a culture independent of the Sales Department which has a strong focus on fiduciary responsibilities and controls Oversee and monitor processes and procedures and escalate any issue to management which will impact financial results, the safety of the public or company employees, the law or company policy Ensure department coverage during vacations and critical business periods Performs other duties and responsibilities as directed by supervisor Job Description Knowledge, Skills and Abilities

Education and Experience

High School Diploma (Associate Degree in Accounting preferred) Fully fluent in English and Spanish Valid Driver’s License and MVR which meets Bar-S driving standards (for travel to perform foreign route inventories)
