Job Summary:

We are seeking a Proposal Coordinator to join our Heber, UT team. The Proposal Coordinator will assist the Estimating department with managing bids for all projects company wide. This role involves organizing and distributing proposal documents, tracking deadlines, and maintaining accurate records. The Proposal Coordinator acts as the main contact for proposal-related inquiries and ensures that all deliverables are completed on time and adhere to formatting and content standards.

This role may report out of our Sandy, UT location once the initial 6 month training period is complete but will continue to report to Heber once a week for required meetings.

What You'll Do  

Responsibilities:

1. Proposal ManagementReceive, review, and analyze RFPs (Request for Proposals), RFQs (Request for Qualifications), and RFIs (Request for Information) to determine proposal requirements and deadlines.Perform a high-level review of the inquiry to interpret the scope of work proposal requirements and associated deliverables.Distribute RFP documents to the estimating team and the executive teams detailing the scope of work, pre-bid and proposal due dates, and estimated construction dates, etc.Track bid deliverables to ensure that all proposals are fully compliant with client requirements, including formatting, content, and submission procedures.Develop and maintain proposal schedules, ensuring that all proposal deliverable items are completed on time.Serve as the primary point of contact for all proposal-related inquiries and communications with the client. This includes receiving addendum updates and submitting RFQs.2. Document ManagementDownload and organize RFP on company servers.Moves client files onto the server following our internal electronic file structure. Then follow archiving procedures for all proposal materials on the Company’s server system.Store and organize proposal document templates, and relevant RFP materials for easy access and retrieval.Develop the initial deliverable documents on the server using previous project templates.3. Communication and CoordinationMonitors the estimating email for new and updates to RFPs.Send and update calendar invites that track pre-bid and proposal due dates.Inputs and tracks the RFP information in Salesforce. This includes updating the status of the project each week during our estimating review meeting.4. Data Management and AnalysisMaintain a database in Salesforce of submitted proposals, including tracking wins and losses for future reference and analysis. What You'll Bring

Qualifications:

Strong project management and organizational skills, with the ability to manage multiple projects simultaneously.Excellent written and verbal communication skills, with a keen attention to detail.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.Proficiency in Microsoft Projects a plus.Ability to work under pressure and meet tight deadlines.Knowledge of construction processes, terminology, and industry standards is highly desirable, not required.Flexibility to work extended hours when necessary to meet proposal deadlines What You'll Get
