Job Overview:

We are seeking an experienced Property and Facility Management Contract Manager to oversee the property and facility management operations of a large-scale warehouse and office space (120,000 sqm+). The client is the ultimate owner and sole user of the property, requiring a high standard of service, transparency, and operational efficiency tailored to owner-occupier needs.

The successful candidate will be responsible for managing a team of facility managers, ensuring compliance with statutory regulations, and optimizing facility management processes. This role requires a professional with strong leadership, technical, and project management skills, capable of liaising effectively with clients, contractors, local team and governmental authorities as well as external vendors.

The candidate will be supported and managed by the Warsaw Property & Technical Asset Management team and will report directly to the Head of Property & Technical Asset Management based in Warsaw.

 

Key Responsibilities:

Team Management: Lead a team comprising a property manager, technical manager, technical leader, and four technicians to ensure smooth facility and property management operations as well as other engineering resources when needed. Regulatory Compliance: Oversee schedules of all statutory reporting, inspections, and ensure compliance with legal and health & safety regulations. Ensure that all contracted maintenance reviews and statutory inspections are conducted timely and according to standards. Performance Monitoring: Oversee the performance of the facility management (FM) and project management (PM) teams, ensuring efficiency and quality of all deliverables. Client Interaction: Conduct daily meetings with the Client to provide updates on facility issues, progress, and potential improvements. Project Oversight: Supervise CAPEX and project management initiatives undertaken by the our Facility and Project Management teams, ensuring successful execution within expected time and budget. Subcontractor Management: Monitor subcontractors' work with a focus on quality assurance and health & safety compliance. Regularly assess contractors’ performance aiming to increase overall service levels. Utility & Cost Optimization: Oversee property and facility management efforts to optimize utility consumption and propose efficiency measures. Legal & Compliance Monitoring: Keep track of changes in legal regulations that could impact service scope and ensure compliance, notify team and Client. Reporting & Documentation: Approve internal facility management reports before submission to the Client and oversee document storage practices. Operational Meetings: Facilitate daily and weekly meetings with FM and PM teams to coordinate tasks and address challenges. Process Improvement: Assist in developing and implementing best practices and methodologies for FM and PM processes. Technology Utilization: Oversee the utilization and efficiency of the CAFM (Computer-Aided Facility Management) system. Budget Management: Oversee CAPEX and OPEX budget preparation, approve budgets before submission to the Client, and ensure financial compliance. Fire Safety & Compliance: Ensure compliance with FM Global standards and oversee fire safety aspects of the facility.

 

Requirements:

Proven experience in facility and property management for large warehouse operations. Strong communication and client relationship management skills, with the ability to manage expectations effectively. Exceptional leadership skills with the ability to manage and mentor a diverse team of facility, property and project managers. Ability to coordinate subcontractors, local authorities, and internal teams to drive operational efficiency. Strong technical skills in facility management, including:  fire safety, HVAC, electrical, plumbing, and building maintenance. Excellent project management skills, with a track record of successfully handling CAPEX and OPEX projects. Knowledge of local regulations, H&S compliance standards, and CAFM systems. Proficiency in English, with strong written and verbal communication skills. Ability to work effectively under time pressure and manage multiple priorities in a fast-paced environment. Willingness to work in client's office 5 days a week (8:00-16:00).

 

Preferred Qualifications:

Certification in Facility Management, Property Management, Project Management (PMP), or related fields. Experience in working with FM Global compliance standards. Familiarity with energy efficiency and utility cost optimization strategies.
