Job Description
Our client is seeking a reliable, organized, and proactive Project Coordinator to manage a variety of tasks supporting daily operations at our company. The ideal candidate will be responsible for greeting clients, answering phones, scheduling appointments, maintaining files, handling logistics, and performing essential office functions to ensure smooth office operations. This role requires excellent communication skills, strong attention to detail, and the ability to multitask effectively in a dynamic environment.
ResponsibilitiesGreet clients and visitors in a professional and welcoming manner.Manage sign-in/sign-out procedures for visitors and ensure security protocols are followed.Answer phones promptly, directing calls and providing information as needed.Take memos and messages accurately, ensuring timely follow-up.Organize and schedule appointments, meetings, and conference calls using the company calendar.Coordinate travel and transportation services, including booking rental cars and making travel reservations.Sort and distribute incoming mail and packages.Maintain an organized filing system and archive files as necessary.Order and manage office supplies and inventory, ensuring that materials are stocked and available.Coordinate logistics for in-office meetings, including ordering food, setting up the meeting room, and arranging any necessary equipment.Assist with new hire procedures, including setup and preparation of workstations and equipment.Support new project setups, including organizing materials and tasks.Maintain employee rosters and assist with employee information updates.Handle shipments, both sending and receiving packages.Assist with license renewals and track relevant deadlines.Assist with resumes and help maintain the company’s contact information database (AME contacts).Essential SkillsStrong communication skills, both verbal and written.Excellent organizational and multitasking abilities.Proficient in Microsoft Office Suite (Outlook, Word, Excel).Ability to handle confidential information with discretion.Strong attention to detail and a proactive approach to problem-solving.Ability to work independently and as part of a team.Additional Skills & QualificationsHigh school diploma required.Experience in a similar role is preferred; 5+ years of experience is a plus.Work Environment
This is a salaried, full-time, in-office position requiring 40 hours per week. The role involves managing various office tasks to support smooth operations and ensuring a professional and organized office environment.
Pay and BenefitsThe pay range for this position is $65000.00 - $80000.00/yr.
