Job Summary
This position is a hybrid role based in Washington D.C.
Responsibilities
Manages email communications in Faculty’s inbox and responds or coordinates responses with relevant team members. Triages and resolves routine and complex inquiries.
Organizes speaking and media requests for domestic and international events, including for high-level events with policy makers, government officials, and other partners.
Maintain Faculty’s website, course sites and special websites for specific events or research.
Handle highly confidential and sensitive materials and situations.
Manages and coordinates events, including logistics research and planning. Supports the creation and preparation of presentations, handles outreach efforts, and produces detailed post-event reports.
Proactively manage the scheduling of the Faculty’s calendar, including resolution of schedule conflicts, schedule prioritization, and meeting logistics.
Supports new and ongoing research projects by proofreading, fact-checking, and editing papers and reports, under the supervision of the Faculty.
Support Faculty’s job market candidates in the job market process.
Stay informed of activities relating to University programs and initiatives, apprising the faculty of issues when deemed necessary. Supports information flow from the Faculty’s office to University.
Uses appropriate resources and critical-thinking skills to follow issues through to resolution.
Prepare institutional documents, such as faculty reports and conflict of interest statements, for Faculty’s submission.
Prepare and coordinate letters of recommendation for graduate students.
Support creation of lecture materials and schedule Zoom calls for graduate classes taught by the Faculty with help from teaching assistants.
Assist in managing the transcription of voice files recorded by the Faculty to draft and edit emails and documents. This includes both transcription and managing a small team of student transcribers.
Manage Faculty member’s individual finances including soliciting and processing travel reimbursements, honoraria and other internal and external receivables, to ensure timely dispersal of obligated payments using GEMS. Maintain inventory of Faculty supplies and equipment.
Upholds confidentiality and exercises discretion in handling sensitive matters.
Coordinates complex domestic and multi-country international travel arrangements. Procures necessary travel documents, including visas, and ensures the Faculty has necessary clearance and documentation for travel.
Creates and maintains master itineraries.
Assists with researching funding opportunities, preparing grant proposals, and drafting and/or editing other written materials with moderate to high level guidance.
May assist with other administrative projects as needed and acquire higher level guidance and skills.
Performs other related work as needed.

Demonstrated experience in project management.Background providing high level administrative support.Technical Skills or Knowledge:
Proficiency in Google Suite, Microsoft Suite, Slack, Adobe and Asana.Proficient in technical software, troubleshooting emergent IT issues, and high touch support.Knowledge of University financial systems, including GEMS, Buysite, Purchase Order (PO) processes, etc.Working knowledge as a research assistant and/or supporting research projects. Teaching Assistant experience in economics courses may also be considered.Preferred Competencies
