Responsibilities


Responsible for providing clerical and administrative support to our project control team in addition to maintaining project documentation, tracking progress, and ensuring efficient information flow to facilitate successful project completion.  Personal and interpersonal skills are required in order to manage confidential information as well as outside institutions and/or business partners.  Inert ability to adapt in a constantly changing fast paced environment. Must be able to meet reporting deadlines, which may include accumulating unscheduled overtime.

 

Other responsibilities

Manage the documentation and input of project data into relevant systems and databases, ensuring accuracy and completeness.Ensure compliance with accounting policies and procedures (JSOX)Maintain and organize project files, both physical and electronic, ensuring easy access and retrieval of information.Communicate effectively with project team members, clients, and stakeholders regarding project-related administrative matters.Assist in the preparation of project close-out documentation.Ensure compliance with company policies and procedures related to project documentation and control.Perform general clerical duties such as photocopying, scanning, faxing, and filing.Handle incoming and outgoing mail and correspondence related to projects.Perform other administrative and clerical tasks as assigned by the Project Control Manager or project control team.Testing and implementation of special projects as required Qualifications

Qualifications

Advanced computer skills with Microsoft Office (Excel)Complete working knowledge of SAP (preferred) or other (MRP software)Good understanding of cost accounting principles and procedures.Proficiency in Microsoft Excel, including advanced functions (e.g., VLOOKUPs, pivot tables).Experience with Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle, NetSuite).Excellent analytical and problem-solving skills.Strong attention to detail and accuracy.Good communication and interpersonal skills to collaborate with cross-functional teams.Ability to work independently and manage multiple tasks effectively.  

 

Work Environment

Overtime may be required especially at quarter and year end.  Occasional travel may be needed.  Office environment.  Prolonged periods of sitting and a lot of time keyboarding and looking at a monitor.

 

Education and Experience

Associate’s degree with a concentration in Accounting, Finance or related field and/or High School Diploma with 2 years’ experience in administrative support role, preferably within a project-oriented environment.Experience with manufacturing environment a plusExperience with SAP a plus
