Job Description
We are seeking an organized and detail-oriented ProjectAdministrative Assistant to support our project management team. The candidate will play a crucial role in ensuring the smooth operation and timely completion of various projects by providing accurate data entry, document processing, and project coordination.
ResponsibilitiesProvide Estimators with an approximate date for when a project will be detailed and handed over to the PM team.Track sold projects and add them to the Detailing Timeline using Google Sheets.Continuously monitor projects on the Detailing Timeline until completion.Set up projects and perform data entry tasks.Review project information and BI Bid details.Transfer relevant documents from the estimate side to the project side, organizing them into appropriate folders.Add bookmarks to plans and specifications to enhance manageability using PDF-XChange.Update Comsense with all pertinent job and shipping information.Review plans to enter all TO/FROM locations into Comsense.Learn and execute bulk and unbulk processes for projects as needed.Record meeting minutes when applicable.Update detailing department spreadsheets as directed by the department manager.Essential SkillsAdministrative supportData entryDetailingGoogle SheetsExcel data entryProject administrationConstruction administrationOrganizational and planning skillsAttention to detailExcel/Google SheetsDocument processingMicrosoft OfficeProject documentationProject setupProject coordinatingCommercial project managementAdditional Skills & QualificationsProficiency in Google SuiteExcel experience: sorting, equations, formulasFunctional and working knowledge of computers in generalExcellent oral communication skillsPositive interpersonal skillsStrong organizational skillsSelf-motivated and proactiveDetail-orientedExperience with PDF-XChangeBlueprint reading/specs knowledgeWork Environment
This role is onsite, Monday through Friday, from 8:00 am to 4:30 pm with flexibility.
Pay and BenefitsThe pay range for this position is $21.00 - $21.63/hr.
