Project Administration / Executive Assistant
About this role

This is a 12-month FTC role (with potential to become permanent) with a national Design studio specialising in landscape architecture, master planning and strategic development. The role on offer is for a Document Controller, based in their Brisbane CBD office. 

Supporting an office of 60, you will be able to work autonomously and proactively. The ideal candidate will have administration and document control experience within the design industry, working on projects. There is scope to really make a mark in this established firm, by implementing new and improving existing processes within operations. This role requires attention to detail and the ability to learn new software packages to support documentation teams.

This is a team based role, in the office 5 days per week, in a collaborative and supportive environment. As the business is growing rapidly, there is opportunity for extension of contract as well as progression in the business.
 

Key Responsibilities

Maintenance and control of all project documents as well as well as management of outgoing documents to ensure quality is met. Project and documentation administration. Liase with project clients in relation to document management. Diary and workflow management with a focus on the provision of solid administrative support. Document control, including quality assurance and coordination across team documentation. There may be some EA work in this role, supporting the Director and Project Managers. Ad hoc duties as guided by senior leadership.


Skills and Experience

2 years’ experience in Document Controller / Project Administration.  Industry experience working within the design industry. High level of interpersonal and communication skills. Pro-active by nature and display a high level of initiative. Excellent time management and organisational skills with ability to juggle multiple priorities at once. Highly proficient in MS Office suite. Aconex experience desirable.
