Essential functions (job duties): The Program Operations Coordinator will support the Damon J. Keith Center for Civil Rights and the Detroit Equity Action Lab (DEAL) by ensuring efficient operations and coordination of activities. This role is integral to supporting both directors in advancing their missions to promote racial equity, civil rights, and social justice in Detroit and beyond. The position will balance administrative, project coordination, and operational responsibilities to enable the seamless execution of programs, events, and initiatives. The candidate will work collaboratively with other Keith Center and DEAL staff and will report to the Associate Director, DEAL and the Associate Director, DJK Center. Administrative Support Manage and maintain calendars for both directors, including scheduling meetings, resolving conflicts, and organizing travel arrangements. Process invoices, reimbursements, expense reports, and other financial transactions, ensuring accuracy and compliance with organizational policies. Organize and maintain files, documents, and records for easy access and retrieval. Serve as the primary point of contact for administrative inquiries and correspondence, directing them to the appropriate parties as needed. Assist in managing grants by tracking deadlines, compiling reports, and supporting budget management. Project Coordination Coordinate event logistics, including securing venues, preparing materials, managing RSVPs, and overseeing day-of-event operations. Support planning and execution of large-scale events, such as signature events, academic programs, special projects, and community conferences. Support directors with research and preparation of presentations, reports, and other program materials. Work with university communications staff to promote events, prepare event materials, and manage event follow-up tasks. Communications and Outreach Support (Keith Center only) Help manage web-based content, such as updating website sections, coordinating with IT, and posting announcements. Support social media efforts and other communication strategies as needed. Assist with drafting correspondence, newsletters, and other communications to stakeholders, donors, and advisory board members. Coordinate email communications, newsletters, and other outreach materials to stakeholders. Team and Stakeholder Engagement Serve as a liaison between directors, staff, community partners, and university departments. Assist with onboarding and orientation of new team members, interns, and volunteers. Facilitate communication and collaboration across teams to ensure alignment on shared goals and deadlines. General Office Operations Monitor office supplies and equipment, placing orders and managing inventory as needed. Maintain a welcoming and organized workspace for staff and visitors. Take minutes during meetings and distribute them promptly to ensure clarity and follow-up on action items. Perform other related duties as assigned. Qualifications: Education Bachelor's degree Bachelor’s degree from an accredited college or university in business administration or related field preferred or equivalent combination of education and experience. Experience Specialist (minimum 5 years of job-related experience) Minimum 5 years related experience, including demonstrated ability to provide administrative support at the executive level. Prior experience in a higher education and/or business executive administration services preferred. Experience with social media management and content creation is a plus. Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with grant management platforms. Familiarity with Wayne State systems like WayneBuy, Travel Wayne, etc. is preferred. KNOWLEDGE, SKILLS, AND ABILITIES Some knowledge of accounting principles and bookkeeping procedures and applications. Strong organizational skills with the ability to prioritize tasks and manage competing deadlines. Ability to effectively work within and meet established deadlines. Detailed oriented, excellent written and verbal communication skills, including interacting effectively with diverse stakeholders. Familiarity with or interest in racial equity, social justice, and community engagement is desired.
