To learn more, please visit our website: http://www.chem.tamu.edu/ What We Want The Program Coordinator I P9 will be responsible for serving as primary coordinator of the Department of Chemistry First Year Chemistry Program, which delivers approximately 36,000 credit hours of instructions each academic year. Under the guidance of the Program Director(s), the selected candidate will be responsible for coordinating and implementing academic programs and coordinating the teaching schedules of the Teaching Assistants. Additionally, the Program Coordinator I P9 will coordinate with Technical Laboratory Coordinators, the Teaching Assistants’ workload supervision, and day-to-day monitoring of whether they are meeting their teaching responsibilities. The selected candidate must interact effectively with students, faculty and administrators while supporting the First Year Program mission of education and outreach. What You Need to Know + Salary: Compensation will be commensurate based on the selected hire’s education and experience Required Education and Experience: + Bachelors degree or any equivalent combination of education and experience + Two years of administrative or project management experience Required Knowledge, Skills, and Abilities: + Working knowledge of spreadsheet, presentation, database, word processing, and LMS software programs + Working knowledge of standard office equipment + Interpersonal and communication skills and ability to plan and organize effectively Preferred Qualifications: + Well versed in use of Word, spreadsheets and chemical drawing software and LMS (Canvas) + Experience with TAMU Admissions and Records + Interpersonal and communication skills and ability to plan and organize effectively + Leadership skills + Ability to remain self-motivated Responsibilities: + Implements Procedures for Lectures and Examinations: Develops, oversees and monitors program timelines. Assists with set-up of course Canvas sites. Supervises the work of those preparing the exam printings for 100 and 200-level chemistry courses and other courses as needed. This requires monitoring timelines and communicating with multiple faculty members and coordinating office activities and availabilities of graduate teaching assistants to ensure faculty members receive services (exam preparation, handout prep, exam seating charts and exam administration and proctoring) in a way that works the best for the faculty members and the students. Must combine efficiency with tact in keeping all concerned on schedule. Must be able to maintain integrity of security sensitive data and personally identifiable information. Creates and manages schedule of Chemistry Learning Labs. + Staff Supervision and Management: Implements and audits unit business procedures. Hires, prepares work schedules, trains, evaluates and encourages high quality work performance of student workers and subordinate staff. Identifies unit training needs. Manages makeup scheduling for lectures and labs. Oversees and ensures that the needs of the faculty and staff in ILSQ are being met. Coordinates with Technical Laboratory Coordinators regarding the Teaching Assistants workload supervision and day-to-day monitoring of whether they are meeting their teaching responsibilities. Provides leadership and direction and serves as a resource for unit team members and instructs staff in proper completion of time sheets, requests for personal leave and worksheets. Reviews and approves timesheets before submittal to the department payroll office by deadline. Coordinates efforts of professors, graduate teaching assistants, staff, and students in resolving complex, highly sensitive and confidential administrative matters; responds to requests for program information. Provides organizational expertise to novice instructors and guides them through procedures, offers assistance, helpful tips, suggestions and advice. Applies, interprets and communicates University policies and procedures and serves as a resource for such. + Program Events: Plans and implements First Year Program Lecture Series and outreach activities in ILSQ. Plans and oversees projects timelines. Monitors and maintains program budgets. Coordinates communications and marketing. Captures, analyzes and reports on educational and outreach metrics. Identifies and recommends educational program improvements + Organization of Examination Records for Lecture and Laboratory Courses: Communicates with the appropriate student majors dean’s office about problems with student grades. Handle exam results, distribute memos, records, etc., associated with approximately 130 graduate teaching assistants. Oversees computerized gradebook preparation, course evaluation, web information and assignments and facilitating of exam grading. + Additional Specific Examination Duties: Coordinates teaching assignments for the graduate teaching assistants. Each schedule must conform with the class schedule, group meetings, and seminars that the graduate student is required to attend. This process often requires several revisions owing to incorrect and/or incomplete information and last minute changes in the graduate course schedules. Calls the ambulance and maintains records when necessary. + Academic Program Planning and Scheduling: Works with FYP Director to prepare schedules for future semesters and coordinating the schedule with the academic calendar. Identifies and recommends program improvements. Assists dovetailing course offerings listings in ASTRA to avoid conflicts between sections. + Office Management and Record Keeping: Supervises the creation, maintenance and retention of program and office files and records. Oversees office supplies and equipment maintenance. Serves as liaison for office equipment and service contracts. Directs the preparation of memos, letters, manuscripts for the FYP lecture programs for professors and lecturers teaching in the program. + Customize Instructional Environments, Maintain Confidentiality: Communicates with Disability Resources in the Division of Student Affairs and coordinates the exams associated with the lab portion of the course for students with disabilities. Ensures that each student’s exams are sent over with proper professor’s exam and preferred testing conditions. Organizes disability student groups from each professor s sections and ensures that information specific to individual students is attached to each exam. Is responsible for maintaining exam security before the exams are given. Coordinates with Disability Services to ensure that exams have been returned and graded in a timely manner and then returned to the appropriate professors. Why Texas A&M University?
