Description
The Program Assistant is the first point of contact for residents and others who call or visit Bridging Neighborhoods to learn about program offerings. This full-time position reports to the Operations Supervisor and carries out administrative and program-related activities. This position requires someone who provides excellent customer service, is highly organized, takes initiative, and has administrative experience. The Program Assistant will also have the opportunity to work on special assignments, as directed. The position is funded through July 31, 2025.
Examples of Duties
+ Answers the phone and greets and directs visitors; assists with answering questions and providing program information.
+ Reviews correspondence and determines the appropriate method for routing. Responds to correspondence (e.g., email) in a timely fashion.
+ Analyzes routine issues independently to determine the proper method for resolution and expedite remedies.
+ Assists with the resident program application processes, including but not limited to, assisting with application completion and scanning and reviewing documentation required for enrollment.
+ Data entry of program and administrative information.
+ Schedules and manages calendar for conference rooms.
+ Oversees the storage and ordering of office supplies and inventory.
+ Attends community meetings and assists with community outreach through document collection, door-knocking and other measures, as needed.
+ Prepares and/or makes presentations, as needed.
+ Assists staff by providing information about procedures, practices, and policies; instructs and trains staff if necessary.
+ Develops and revises processes and forms to improve workflow and office management.
+ Serves as the liaison between departmental staff, other City departments and outside agencies, as directed.
+ Assists with additional administrative, operational or program needs or projects.
+ Assists with interpreting and translating information, if applicable.
Minimum Qualifications
+ Bachelor’s Degree, preferred. HS Diploma or equivalent required.
+ Competency in completing data entry, spreadsheets, and Microsoft Office.
+ Strong oral and written communication skills.
+ Spanish-speaking, a plus.
+ Desire to provide a high level of customer service and grow within the City as a civil servant.
Supplemental Information
The position is currently based out of the Bridging Neighborhoods Office at 1017 Springwells, Detroit. The Program Assistant is expected to work in the office Mon-Fri 8:30a- 5:00p, unless otherwise specified. Work at designated sites during the day for meetings or document collection will be required at times. Working occasional events in the evening and weekends is also expected. Compensation is commensurate with experience. This position is non-exempt.

The City of Detroit is pleased to continue to provide a medical plan option to our Administrative Special Services Employees for the 2020 plan year. This plan is provided by Blue Care Network of Michigan and utilizes their PCP Focus Network. This plan provides you with the opportunity to receive an enhanced level of benefits and pay less out of your paycheck for your medical plan. There are two important requirements that you should consider and understand if you should decide to enroll in this plan. You will have to choose a primary care physician that serves within the PCP Focus network. This primary care physician coordinates your care. The network includes over 22,000 Primary Care Physicians. There are also Wellness Requirements that you (the subscriber) must meet in order to remain in the enhanced level of benefit.
Administrative Special Services Staff (Exempt) are eligible for the following benefits:
+ CURRENT SICK LEAVE – Granted (3) months of continuous service. (1) day per month, not to exceed (12) days per year.
+ VACATION – Granted (1) day per pay period, not to exceed 20 days per fiscal year
+ PAID HOLIDAYS – Granted if paid for 600 straight time hours in the (12) months prior to the holiday
+ MILEAGE REIMBURSEMENT - Granted on same basis as regular employees.
+ WORKERS COMPENSATION – Covered by applicable laws.
+ UNEMPLOYMENT COMPENSATION - Covered by applicable laws.
+ HOSPITALIZATION – You are eligible to purchase healthcare benefits for yourself and your dependents under a group rate. You will be responsible for the full premium, no employer contribution will be applied. Please review the Health Care Plan Options Booklet for more detailed information.
+ This position is not eligible for the City Pension Plan, dental, vision, optical, death, life, disability, funeral, reserve sick or jury duty.
Administrative Special Services Staff (Non-Exempt) are eligible for the following benefits:
