Job Description
Under the direction of the Global IFM and Procurement Transitions Director, the IFM & Procurement Transitions Coordinator plays a critical role in ensuring the seamless transition of Integrated Facilities Management (IFM) services across global regions. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key ResponsibilitiesUtilize advanced Excel functions (e.g., Pivot Tables, VLOOKUP, XLOOKUP, IF statements) for data analysis and reporting.Consolidate and format asset data from various sources for upload into standardized templates.Schedule and support transition meetings, including preparing agendas and assisting IFM transition leads.Document and distribute meeting notes, capturing key decisions and action items.Create and deliver presentation materials to communicate project updates and insights.Collaborate with subject matter experts to update and publish IFM playbooks.Maintain project trackers and milestone templates using Smartsheet.Identify and escalate risks, documenting them in the RAID register.Monitor and report on transition progress to ensure alignment with project goals.Confirm training schedules and completion for IFM workstream leads.Support data-driven decision-making through analysis and organization of key metrics.Develop and refine process maps and workflows to improve operational efficiency.Manage digital files and documentation for easy access and security.Gather and share best practices to enhance team performance.Identify opportunities for process improvement and support program enhancements.Required SkillsFacilities maintenance and procurement knowledgePurchase order and vendor managementAdvanced Excel (Pivot Tables, VLOOKUP, XLOOKUP)Project management and Smartsheet proficiencyData analysis and ERP system familiarityStrong presentation and communication skillsProcess improvement and workflow developmentQualificationsBachelor’s degree in Business or a related field (preferred)Experience in facilities management, project management, or change management is a plusStrong analytical and organizational skillsAbility to manage multiple priorities and meet deadlinesProactive, detail-oriented, and collaborative mindsetPay and Benefits
The pay range for this position is $26.44 - $31.25/hr.
