Goals of the position

Vendor compliance for NA and Europe regions. To keep stewardship controls for JLL P2P (procurement to payment) transactions on client account.Support to answer any internal or external audits on procurement and sourcing procedures.To ensure 100% compliance of all sourcing and procurement procedures and records according with all corporate policies.Process and/or approve purchases orders according to SLA of 24 hours for North America.Process vendor creation/update/unblock on JLL and client’s procurement systems for North America and Europe regions.Ensure vendor readiness at different JLL and Client systems for business allocation.

Task and responsibilities

Sourcing and Procurement activities

Process requisitions into Purchase Orders (POs) within SLA of 24 hours.To issue and submit POs to the suppliers. Emergency services are included.To monitor and follow-up deliveries, claims, returns and exchanges of the services/goods when required.Commercial liaison between services requesters (from JLL) and the suppliers, (manage day-to-day issues and relationships) for the spot buys of expense below 10M USD.Ensure compliance with JLL Policies and Procedures, Sourcing Guidelines and the client’s Internal Controls.Perform self-assessments tests on a quarterly basis.Participate on monthly sourcing team meetings.Own and update contract and compliance tracker for each region.

Vendor and Contract Management

Vendor creation/update/unblock on JLL and client’s procurement systemsEnsure Preferred Vendor List (PVL) database is updated. Ensure that the information is accurate and up to date.Ensure internal controls program compliance to pass the client’s internal or external auditsCommunication to vendors.Collect vendor information via surveys.Contract management in Jaggaer and signature follow up.COI collection and report.

Success Keys

Strong internal controls achieving pass scores on self assessments and auditsUser satisfaction more than 80% or, in the lack of quantifiable data, obtain concrete positive feedback from key clients (Sourcing and SFM)Vendor’s files 100% in compliance with JLL policies and procedures.Contribute with regional cost avoidance by reporting savings on time within each quarter

Employee qualities

Academic

College or technical institute's degree. Titles on business administration are preferred.2 years of background experience in purchases, logistics, finance or supply chain management.Advanced English levelKnowledge of Microsoft Office tools.

General

Client relationship management skills.Effective in teamwork and client service.Good communication skills (both written and oral)Flexibility and “Learning along the way” skills.Highly motivated and willing to go the extra step. Highly Proactive.
