We are currently looking for someone to fill the role of Prevention Advisor and Office Manager.
As Prevention Advisor:
Job Purpose & Objectives:
Ensure compliance with health and safety regulations and promote a safe and secure working environment.Accountabilities:
Implement and monitor health, safety, and environmental programs.Tasks and Responsibilities:
Conduct risk assessments and audits to identify potential workplace hazards.Develop and implement safety programs and protocols.Conduct safety training sessions and ensure emergency preparedness among staff.Ensure compliance with Belgian safety and environmental legislation.Oversee facility security and respond to facility and equipment alarms or system failures.
As Office Manager:
Job Purpose & Objectives:
Efficiently manage all office operations and related administrative activities.Accountabilities:
Coordinate and optimize office logistics while ensuring effective administrative support.Tasks and Responsibilities:
Manage the contracts database (Icertis) and oversee contractor and vendor relationships, including monitoring expenses and payments.Manage and coordinate office stationery: handle inventory, purchasing, and distribution while following established processes.Ensure the archives room is well-organized, including space management and periodic clean-ups.Allocate and manage facility space for maximum efficiency, including coordinating intra-office moves.Supervise maintenance and repair of facilities and equipment, and oversee facility refurbishments and renovations.Plan and manage central facility services, such as reception, security, cleaning, waste disposal, and parking.In collaboration with the purchasing manager:Obtain quotes and tenders from vendors and suppliers.Calculate and compare costs for goods and services to maximize cost-efficiency.Negotiate contracts to optimize delivery timelines and cost savings.

Required Skills and Competencies:

Certification as a Level 2 Prevention Advisor in accordance with Belgian regulations.Minimum of 3 years’ experience in office management or EHS roles.Strong knowledge of Belgian health and safety laws.Additional Information
