POSITION SUMMARY:
Responsible for the accurate and timely processing of hourly payrolls in the Southern Oregon Region. Prepares and maintains payroll reports and records. Responsible for knowing and adhering to all laws and regulations related to the payroll function.
Incumbent must be able to work full time in the office. This is not a remote work position.
MAJOR TASKS:
+ Utilizes Payroll and HRIS software to ensure the accuracy and timely distribution of employees' pay on the established payroll schedules.
+ Responsible for processing paychecks for regular semi-monthly payroll, commissions, relocation, termination and severance, and other periodic payments. Reviews timecards to process employee pay.
+ Reviews and audits documentation to process short-term disability pay, vacation, and adjustments for employees.
+ Reviews exceptions in time and attendance system, works with supervisors to correct and creates an import file to load to payroll system.
+ Receives, responds, and tracks garnishments and other payroll deductions.
+ Generates and submits files each payroll to the bank for processing direct deposit transactions, and positive pay files.
+ Generates check requests for payroll deduction information (i.e. garnishments, child support, levies, and other deductions) to A/P for payment processing.
+ Generates reports for temporary employees and reconcile to agency invoices.
+ Distributes necessary reports to appropriate personnel and assists Division Controller and Human Resources with inquiries for analysis and information requested by various agencies.
+ Maintains up-to-date employee records by completing the following: makes necessary changes to approved employee status change forms, W-4, direct deposit forms as well as updates to pay rules and schedules in time & attendance system.
+ Follows internal checklists to complete onboarding of new hires in time & attendance and process terminations.
+ Accurately completes written employment verification forms.
+ Assists employees and supervisors with payroll related questions.
+ Follows up with outstanding payroll checks.
+ Responsible for supporting and adhering to company policies and procedures.
+ Maintains current knowledge of payroll practices and changes in payroll laws.
+ Other tasks as assigned.
SKILL REQUIREMENTS:
+ A minimum of two to four years payroll experience
+ An Associates Degree in Accounting, Business Administration or related field is preferred but not required.
+ CPP or FPC certification a plus.
+ Must have the ability to establish and maintain effective working relationships.
+ Experience using computerized payroll systems.
+ Ability to prioritize and meet deadlines.
+ Proficiency in personal computer use with Microsoft Office, Word, and Excel.
+ Excellent verbal and written communications skills.
+ Must have the ability to maintain strict confidentiality.
