Your Impactful Role

Supports the patient VIP experience by assisting with new patient paperwork and supporting New Patient Welcome and ToursRegisters new patients in EMR and ensures external referrals are processedServes as first point of contact and resolution for escalated patient issues, concerns, disputesAssist with leading front office center operations including, quality, compliance, patient experience, and direct supervision of employeesUnder the supervision and guidance of the Business Operations Manager is responsible for organizing and directing the work of the front desk staff, coordinating staff activities and schedules to ensure effective patient careFills in for Business Office Manager and front desk staff as needed for scheduled and unscheduled absencesCover various Front Desk tasks and duties in line with business needsWorks with marketing to ensure employer protocol compliance and escalates employer concernsOversee and reviews emails to ensure patients and clients receive follow upEnsures the email and fax are routinely checked and received documents are correctly indexedReviews phone messages to ensure proper and timely routing and follow-upEnsure that after hours messages from patients are recorded in the patient’s medical record and followed up on by the appropriate staff memberAssist to order office and other needed supplies to ensure the center is properly inventoried, stocked and maintainedEnsures OSHA, clinical and quality standards are met by monitoring performance and implementingSupports scheduling by ensuring gaps are attended to and closed in a timely manner and optimal for the business needsCommunicate with back office to facilitate timely service and treatmentTroubleshoots phone, and computer issuesPerforms other duties as assigned and modified at manager’s discretionMaintains strong professional relationships with employers and employees and through strict adherence of established center guidelines and standards provides the best solutions and options for our patients in support of the overall center experienceServes as a primary contributor in hiring and selection of other front desk staffAssists the business office manager with corrective action plans when needed

Qualifications

High school diploma or GED equivalent requiredBachelor’s degree preferred, but not requiredMinimum of 2-3 years of experience in patient care setting or related experienceOccupational Medicine background or related business experience requiredMust possess excellent written and verbal communication skillsAbility to communicate with employees, employers, adjustors and other individuals with a professional and courteous manner dispositionStrong organizational skills and attention to details to handle multiple tasks, short deadlines, frequent interruptions, and shifting prioritiesStrong leadership and training, and presentation skills to drive resultsSkilled in operating phones, personal computers, software and other basic IT systemsMust be proficient in all Microsoft Office program - strong computer skills needed
