What We Want The successful candidate for this newly created position as Outreach Project Specialist is someone with proven experience creating relationships and successfully integrating fiscal and in-kind contributions into departmental programs, initiatives, and scholarships. In this role, you will coordinate outreach efforts with current and former students and seek ways to collaborate with various stakeholders to foster support for a wide variety of student programs, services, and scholarships. The successful Outreach Specialist will create and maintain a communications program, host networking events, develop merchandising, and effectively convey the benefits of living on campus to stakeholders. In this role, you will collaborate with Department of Residence Life staff and students to focus on their needs and tell compelling stories. You will network with the community, former students, parents/family, faculty, staff, and business partners. You will also design and implement department events that may further that outreach and nurture stakeholder relationships. The ideal candidate will have strong communication skills (both verbal and written) and experience planning and hosting events with an emphasis on networking. The Outreach Specialist must also have a successful record of building interpersonal networks and using varied tools and technology to establish and maintain stakeholder contact. While not required, university housing experience is preferred. Job Description Summary: The Outreach Project Specialist in the Department of Residence Life at Texas A&M University is a key contributor to our mission of enhancing the residential experience for students. This multifaceted role involves relationship building, collaboration, creativity, and strategic thinking. The successful candidate will foster connections between our vibrant residence life community, the Development Office, and generous supporters, ensuring the continued growth and success of our programs. Qualifications Required Education and Experience: Bachelor’s degree. An equivalent combination of education and experience may be considered. Required Special Knowledge, Skills, and Abilities: Ability to identify and understand operational needs of the department. Ability with or knowledge of broadly used specialized/specialty software applications used for marketing purposes and constant customer contact. Must have high level of attention to detail, and strong organizational and writing skills. Must be able to work and communicate with a wide variety of audiences such as general public, faculty, staff, students, university and area business executives as well as former students. Ability to work on projects unsupervised. Ability to adapt quickly to change, multi-task and work cooperatively with others. Ability to effectively facilitate meetings. Preferred Qualifications: Bachelor’s degree in Business Administration, Public Relations or related field. At least one-year full time work experience in a university housing setting preferred. Two or more years of project management experience. Essential Duties/Tasks Outreach and Development + Cultivate relationships with former students who resided on campus + Create and maintain a network of former residents desiring to engage and support the DRL + Partner with departmental student organizations, student leaders, residents, and student staff to develop meaningful relationships with the Department of Residence Life + Cultivate relationships with the Aggie Moms, attend Aggie Mom clubs as requested -include A&M Clubs and AFS Networks + Create and develop personalized communications to develop connections + Partner with university development entities to ensure consistency with university messaging + Develop pathways to acknowledge and integrate donor gifts to DRL programs and initiatives. + Identify and create opportunities for external support and donor engagement. + Identify and develop scholarship opportunities that support students’ ability to live on campus. Collaborations and Communications + Capture and communicate data and evidence of the impact of the residential experience/value-add to students + Collaborate with current residents, parents, donors and MarCom to encourage emphasizing the impact of the on campus living experience on the students + Engage incoming students and families on how they can support and impact on campus living + Communicate regular updates and information about on-campus events, activities, and opportunities to current and former DRL student leaders and DRL staff + Support dedicated communication campaigns, including but not limited to move-in/out, contract renewal, new student conferences, tips and tricks for living on campus, student success, etc. + Compile and share information to donors, parents, and other stakeholders regarding the benefits of living on campus, ongoing projects, student success metrics, etc. + Share the impact to residential students for former student supported scholarships + Partner with departmental and university marketing and communication staff to promote donor impact stories via social media, newsletter, publication, and other media + Ensure narratives and experiences of former residential students are shared with potential donors + Work with MarCom on DRL development website Engagement and Programming + Organize reunions, virtual engagements, and other networking events for former on-campus residents, DRL student leaders, and DRL staff + Facilitate department events focusing on celebrating DRL student leaders and DRL staff such as awards, graduations, significant work/life achievements, and birthdays + Create engagement events to cultivate relationships with prospective or new donors + Engage current residents, staff, and leaders in helping to create connections with potential donors through events and activities + Facilitate department events such as Aggieland Saturday and fall/spring/summer Move-In Day that allow incoming, new, and current residents to further engage in the residential experience + Facilitate department events such as Parents Weekend Game Night that allow parents to further engage with their student’s residential experience + Partner with department student organization on activities and events such as Welcome Week that new and current residents further engage in the residential experience Administration - Records and Acknowledgements + Provide administrative support to the Director of Administrative & Support Services and the embedded DRL Marketing staff. + Ensure accurate record-keeping and stewardship of gifts through partnerships with university development entities. + Maintain records of former staff and former DRL student leaders in Quickbase. + Partner with the DRL HR Liaison to ensure that current staff and student leaders are captured in StarRez. + Oversee commemoration projects including coordinating the purchase and installation of bricks, benches, and other donor-related items + Oversee department scholarship administration- selection and distribution + Develop personalized messaging for gratitude and appreciation for donor contributions + Represent the department at Student Affairs Development Council meetings and Aggie Moms semesterly meetings + Serve on departmental and university committees as requested by the Executive Director Other Duties + Performs other duties as assigned.
