JOB SUMMARY

The OR Materials Coordinator is responsible for the requisitioning, receiving, and stocking of supplies for the OR, Anesthesia and Post-Operative Care Environment as well as other areas as assigned. Some of the major job functions include but are not limited to:

Establishes monitors and adjusts par levels based on product utilization to facilitate the hospital’s standards of patient care while functioning within financial constraints. Initiates orders for non-stock supplies to include order entry, transmission, confirmation, labeling (patient-chargeable items) and delivery of received items to the departments. Processes inventory requisitions to include acquisition, delivery, and restocking. Communicates with Finance to rectify purchasing/invoicing discrepancies. Confers with the Manager of Supply Chain, OR Supervisor, and the Director of Surgical Services to assist with potential cost-saving and quality improvement options. Assists OR staff with product research/sample procurement, under the direction of the OR Supervisor. Performs all stocking duties associated with OR supplies, instruments, etc. Performs other materials management functions as requested by the OR Supervisor. Maintains annual safety and infection control in-services in addition to educational contact hours to meet requirements.

Communications: Interacts with external and internal customers in a positive and diplomatic manner.  

Possesses good verbal and written communication skills.   Provides excellent customer service relating to supply chain functions and any special customer inquiries. 

Teamwork: Acts as a liaison to all departments which require the services of Supply Chain Operations. 

Acts as a department liaison for customer service, providing assistance with resolving customer inquiries and troubleshooting product requisitions, purchase orders, and billing, as appropriate.  Conducts product research and sourcing.  Handles vendor backorders, product returns and recalls, and communicates product information and changes. 

Compliance: Ensures compliance to all department, hospital, Corporate, and Joint Commission policies/recommendations.  

Ensures compliance in market facilities through education and guidance from Supply Chain leaders.  Maintains competency according to departmental policies, procedures, protocols, and mandatory education requirements. 

Administrative Support: Ensures accurate management of product inventory for the facility.  

Counts and replenishes inventory using available technology.   Assists with inventory management by stocking shelves, rotating stock, cycle counts, and physical inventory.   Cleans, prepares, and replenishes specialty carts, kits, and equipment, if applicable.  Receives all incoming freight from UPS, FedEx, and other common carriers.   Prepares and ships outgoing freight.   Uses computer systems, including handhelds, within Supply Chain Operations.  

The incumbent may be asked to perform additional duties as assigned.

 

QUALIFICATIONS

Education: High School Diploma or GED required. BA/BS preferred.

Experience: 3 - 5 years of relevant experience required. Previous healthcare experience preferred. Refer to the Life Support Training Policy for additional details.

Additional Skills/Requirements Required: Ability to work in a stressful and fast paced environment resulting from unit demands Ability to learn inventory control software system and basic computer skills. PowerPoint, Microsoft Word, Excel, Team oriented with good communication skills. Ability to clearly communicate verbally and in written form.

Additional Skills/Requirements Preferred: OR/Surgical Services materials management and logistics, planning, and support knowledge.

The job requires constant sitting, standing, walking, and bending/stooping. Frequent repetitive body movements. Proficient communicative, auditory, and visual skills.
