Job Description:
The Visitor Engagement Assistant will play a key role in supporting daily operations, coordinating visitor engagement programs, managing administrative tasks, and overseeing volunteer-led visitor surveys. This position reports to Jody Green, Assistant to the Director & Special Projects Manager and supervises volunteers.
+ Part-time position (April – August 2025) with approximately 15-20 hours of work per week
+ Flexible schedule required, including select evenings and weekends based on museum events
Key Responsibilities
+ Produceweekly museum store sales reports
+ Track, manage, and reconcileexpenses for the Visitor Engagement budget
+ OrganizeArt After Dark programming, including securing caterers, vendors, supplies, and entertainment
+ Track and ensure timelypayments for Art After Dark expenses
+ Develop language formarketing materialsfor Visitor Engagement programs and departmental offerings
+ Recruit, onboard, and trainvolunteersto conduct visitor surveys
+ Assist with conducting thevisitor surveysas needed
+ Manage and submitvisitor survey data
+ Prepare and submitquarterly reports for the Harn National Council
+ Submitpurchase requestsandIT assistance requestson behalf of the department
+ Provide coverage for theEvent & Rental Coordinatoras needed
+ Submitmonthly department updatesfor the Harn Museum newsletter
+ Assist with recording and reportingattendance dataAdditional administrative support as needed
Additional Responsibilities
+ Financial Duties:Ability to analyze a budget, and comfort with financial processes from setting up vendors, purchasing goods and services, and budget reconciliation
+ Museum Store:Assist with store inventory as needed
+ Confidential Data Handling:Maintain secure handling of sensitive financial and visitor data
Expected Salary:
$14.00 per hour
Minimum Requirements:
+ High school diploma with some college coursework completed
+ Experience incustomer service
+ Proficiency inMicrosoft Office Suite(Word, Excel, Outlook)
+ Strong organizational skills with attention to detail
+ Ability to handle multiple tasks and meet deadlines
+ Strong emotional intelligence and flexibility in a fast-paced environment
+ Flexible schedule required, including select evenings and weekends based on museum needs.
Preferred Qualifications:

+ Experience withPoint-of-Sale (POS) systems
+ Familiarity withPeopleSoft
+ Excellent written and verbal communication skills
+ Ability to work effectively withmuseum staff, volunteers, and visitors
