The cover letter should address your specific interest in the position and outline skills and experience that directly relate to this position. **Job Summary** Established within the College of Literature, Science, and the Arts in 1993, the University of Michigan's International Institute (II) stimulates research and teaching on critical areas of the world and on international issues that cut across world regions and disciplines. The II's 16 centers and programs rank amongst the nation's finest in their respective fields of study and bring together faculty experts from across the U-M campus. In addition, six of the II's centers have been designated as U.S. Department of Education National Resource Centers. The International Institute is seeking a skilled and experienced individual to provide operations leadership in its central office. The successful candidate will manage and collaborate on a high volume of tasks and projects with a strong attention to detail and discretion while being comfortable with change in a fast-paced environment. **Mission Statement** The mission of the University of Michigan is to serve the people of Michigan and the world through preeminence in creating, communicating, preserving and applying knowledge, art, and academic values, and in developing leaders and citizens who will challenge the present and enrich the future. **Responsibilities*** The Operations Manager, reporting directly to the II Chief Administrator, will oversee and provide leadership and expertise regarding the unit's administrative functions as it relates to operations, human resources, and budget for a team of 50 regular staff. The Operations Manager is a member of the II Management team, working collaboratively and as a key partner on overarching II strategic initiatives and daily operations. **General Operations (30%)** + Develop and refine policies and procedures in consultation with the Chief Administrator to support overall operations of the International Institute including financial, human resources, research, and programming activities. Communicate new or updated policies and procedures to the II community by posting on the II intranet (Sharepoint) and writing emails about changes. + Develop training resources for staff and faculty center directors to aid in understanding policies and procedures at the II, LSA, and U-M. + Assist with the design of and implement development projects, long-range planning, and promotional activities. + Oversee II office space policy and projects including renovations, usage norms, and space assignments. + Represent the II to other U-M units and administrators and outside units with general authority to make commitments on administrative policies and procedures. Serve on U-M, LSA, and II committees. **Project and Administrative Management (25%)** + Plan, develop, and implement special projects as assigned by the II Director and Chief Administrator. + Organize II-wide committees and convene meetings, ensuring that key stakeholders are represented and that committee charges are up-to-date and objectives are met. + Coordinate data collection and information gathering as needed. + Manage resources on intranet (SharePoint), network drive, and Google Drive. + In partnership with II Executive Secretary, update and maintain staff and director contact lists for internal directory and email groups. + As needed, take on additional duties during staffing vacancies among II Management Team, providing administrative and managerial support to units during job searches. **Human Resources Coordination (30%)** + Coordinate center faculty director appointments and compensation process, in collaboration with LSA Academic HR. Prepare appointment letters for faculty directors, as well as for faculty retention and recruitment efforts. Initiate and approve Personnel Action Requests (PARs) related to faculty director appointments. Track appointments and compensation. + Create and update MOUs with departments and colleges to specify research, teaching, and service commitments for faculty with joint appointments in the II. + Coordinate on-boarding and departure processes for new faculty, staff, and fellows. + Support recruitment of faculty and staff in coordination with II Director, Chief Administrator, and Management Team. + Organize and support internal II staff hiring teams with search processes. + Support Chief Administrator and Management Team with unit performance management processes including archiving workplans and performance evaluation documents and preparing annual merit letters for staff. + In coordination with HR teams, prepare appointment paperwork including immigration documentation for visiting scholars, postdoctoral fellows, and researchers. Develop internal handbook for visitors, documenting policies related to their appointments. **Financial Coordination (15%)** + Manage applications for II event sponsorship, transfer funds as needed, and monitor budgets. + Create and maintain forms and operational systems to monitor and approve expenditures with awareness of U-M and LSA budget policies. + Under the oversight of the Chief Administrator, analyze operations and financial transactions across centers and identify opportunities for controlling costs, optimizing budget usage, resource-sharing, or reorganization of workflows. **Required Qualifications*** Bachelor's degree or equivalent. At least two to three years progressively responsible administrative work, preferably in an academic environment. Excellent verbal and written communication skills. Demonstrated strong organizational skills. Ability to handle highly confidential and sensitive matters/materials. Excellent computer skills with advanced knowledge of Office and Google tools. Ability to work effectively both independently and as part of a team. Must demonstrate a collaborative, proactive, and goal-oriented approach to administration. **Desired Qualifications*** Experience executing high-level, high-visibility projects with varied stakeholders. Experience in international education and/or higher education administration. Knowledge of U-M and LSA policies and procedures.
