Operations Executive

The role:

 

The Operations Executive will oversee the supervision of the organization’s three units which include the management and maintenance of the fleet of vehicles, overseeing the company’s portfolio of 60 commercial and 7 residential properties and ensuring the smooth delivery of business travel arrangement of employees.  

 

Key Accountabilities:

 

Properties Portfolio

 

Working with the business units on negotiating lease terms, duration, ensuring compliance with lease agreements, managing relationships with landlords and property managers. Maintain an up-to-date record of all properties on the lease database Together with the business units, lead the new lease negotiations and renewals Undertake property market reviews as required to determine current market pricing Work closely with legal teams to review all lease contracts, amendments, extensions and other legal requirements.

 

Motor Vehicle Fleet

 

Monitoring the overall fleet’s performance, including vehicle acquisition and disposal. Manage the fleet of company vehicles under operating lease and vehicles that are fleet managed. Manage relationship with Fleet Management company – Summit Fleet. Work with the business units on the RFQ, vehicle acquisition or lease extensions for new and existing vehicles. Coordinate the disposal of the vehicles between the business units & Summit Fleet.

 

Travel

 

Oversee all aspects of the travel program, including air travel, hotel bookings, car rentals. Provide assistance and support to employees as required to ensure adherence to company travel policies. Answer any travel-related inquiries and issues, including last-minute changes, cancellations, and emergency travel support. Manage and maintain the relationship with the TMC to ensure consistent, high-quality service and seamless travel booking processes. Regularly communicate with the TMC to address any service issues, identify opportunities for cost savings, and improve the overall travel experience.

 

 

What’s needed?

 

Must have prior experience in fleet and property management as well as business travel arrangements Exposure working within a multinational organization would be desirable, but not essential Comfortable to work in a fast paced and dynamic environment Ideally, candidate must have a positive, meticulous, proactive problem-solving attitude. Has good planning capability and ability to multi-task, prioritize and manage time effectively Can work autonomously and with minimal supervision. Excellent communication skills – Oral & Written. Highly collaborative and someone who can deal with internal and external stakeholders effectively
