Operations Coordinator

Position Summary:

The Operations Coordinator provides accounting, budgeting, data analysis, grant, contract management, and financial support for designated geographic regions, under the guidance of the Director of Operations. Essential Job Functions include those listed below.

Essential Job Functions:   Meets grant compliance requirements for individual grant budgets, re-budgeting requests, accounting procedures, reporting procedures, file retention, and other government regulations; Reviews and tracks child welfare program client’s stipens. Manages child welfare accounts receivable, including preparing accurate contract billings and submitting them to appropriate agencies for payment; Review accounts payable to ensure invoices are legitimate and have proper approvals, and prepares and enters invoices as needed; Reviews and maintains a detailed general ledger for accuracy, allowability, and appropriateness of transactions; Identifying and resolving data batch errors to ensure accuracy, consistency, and reliability. Prepare and submit monthly reports to the managing entity, ensuring timely and accurate delivery of all required information. Analyze staff and company performance metrics, and generate detailed event reports to evaluate overall effectiveness and outcomes. Analyze and interpret data sets to identify trends, patterns, and insights, providing actionable recommendations for process improvements. Communicate report findings to program leadership, providing insights to support and enhance staff productivity. Proofs transactions entered by accounts payable or payroll staff for accuracy, allowability, and appropriateness to cost centers, sub-cost centers, and GL accounts; Accomplishes tasks using WestCare’s purchased accounting software package; Maintains detailed grant files containing contracts, correspondence, receipts, expense statements, billing statements, and grant payments; Ensures that grant and invoiced expenditures (including project salaries) are posted to the correct cost center. Assists other WestCare staff as needed to promote cooperation and portray a professional image to the community; Participates in Quality Improvement activities on an ongoing basis; Embraces and embodies the mission, vision, guiding principles, clinical vision and goals of WestCare Foundation; Performs any other duties as assigned.
