Job Description Summary

The Ops administrator provides analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties. May handle special projects and execute research and data analysis tasks. Analyses problems, determines approach, compiles and analyses data and prepares reports and recommendations.

Coordinates activities between departments and outside parties. Contacts company employees at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Represents the department in a polished and professional manner. Assignments may be in various functional areas.

Essential Job Duties:

· Exceptional communication skills: Articulating project goals, expectations, including regular feedback and concise updates to all stakeholders. Builds and sustains positive and collaborative working relationships with a wide range of constituents.

· Problem-solving abilities: Utilizing critical thinking, data analysis, and informed decision-making to overcome challenges.

· Time management: Prioritizing tasks effectively to meet deadlines without sacrificing quality. Plan, schedule and track projects and staffing resources to ensure deadlines are consistently achieved.

· Coordination: Aligning schedules for meetings, deliveries, and events, and coordinating the services of other personnel.

· Budget Planning & Financial Stewardship: Proven skills in budget development, tracking expenses, creating financial reports, and managing budgets.

· Technical proficiency: Excellent knowledge and proficiency in Google Suites, and Microsoft Office.

· Oversee the allocation of resources, encompassing personnel, equipment, and materials, to enhance operational efficiency.

· Recognize opportunities for process enhancement and execute strategies to optimize operational workflows.

· Monitor operational performance metrics, analyze data, and provide insights for continuous improvement.

· Address operational challenges and discrepancies, implementing solutions to maintain seamless operations.

Education/Experience/Training:

· Associate’s degree in business administration, operations management, or a related field.

· 5 or more years of related experience.

· Excellent communication skills, both written and verbal, for effective collaboration and information dissemination.

· Analytical mindset with the ability to assess operational processes, identify inefficiencies, and propose strategic improvements.

· Possess robust problem-solving abilities to tackle operational challenges and implement impactful solutions.

· Proficiency in relevant software and tools used for operations management and documentation.

· Ability to adapt to changing operational needs, evolving priorities, and dynamic business environments.
