Position Summary

The Lift Maintenance Administrative Assistant will be responsible for the electronic and paper recordkeeping for all of Mt. Bachelor’s passenger ropeways, conveyors, and lift maintenance-related equipment. With a focus on detail and organization, they will ensure work orders are issued and closed promptly, parts inventories are sufficient and up to date, as well as fulfilling parts and supply requests, and assist with project management as necessary in conjunction with the Lift Maintenance Managers. As this position is data entry intensive, strong keyboarding skills and the ability to spend most of the work day at a computer are necessary.

Essential Functions/Major Responsibilities

Ensure that all Lift Maintenance records are properly recorded, filed, and organized.

Administer department Work Order Entry System via computer database to ensure readily accessible and accurate historical data.

Administer current department training and non-destructive testing records.

Administer department purchasing and receiving records.

Update and Administer department maintenance procedures and forms for use by department personnel.  Maintain current lift equipment specification files.  Update manufacturer equipment manuals as information is provided.

Administer lifts downtime records.

Administer parts inventory, ensuring sufficient levels of stock and replenishing as necessary.

Maintain the department Safety Data Sheet manual with current information in accordance with SDS regulations.

Organize and maintain the departmental safety binder to include safety huddles, incident analysis, and safe performance observations.

Assist in field work as requested.  Be familiar with all lift operations to assist maintenance crews as necessary.

Contact vendors and parts suppliers for purchasing and shipment tracking.

Aid management in achieving accuracy and consistency in department records.

Secondary Function

Perform the Parts Room Administrator’s duties in their absence.

Assist in project management/tracking status on lift maintenance capital projects.

Shoveling snow as needed by the resort.

Performing cleaning duties as needed by the resort.

Job Scope

As outlined and defined by the Senior Lift Maintenance Manager, Lift Maintenance Manager, or the Mountain Operations Director.

Interpersonal Contacts

Daily interaction with other Lift Maintenance Assistants, Lift Mechanics, Vehicle Mechanics, and various shop employees.

Occasional or varied interaction with Patrol personnel, Grooming personnel, and Facilities Maintenance personnel.

Education/Related Experience

Education:  Associate degree or higher preferred; High School graduate with computer training required.

Minimum Experience: 1-year administrative experience with computer background required. 2 years experience in lift operations/maintenance desired.

Licenses/Certifications: Current & Valid driver’s license.

Communication & Professional Capabilities: Ability to analyze and interpret business periodicals, technical procedures, and government regulations. Ability to write reports, business correspondence, and procedural manuals.

Technical: Proficiency in Microsoft Office: Excel, Outlook, Word, Teams, Coupa, & TMA.

Physical Capabilities:

Be prepared and able to work at your station in an office environment for full scheduled work hours.  Department office environment may involve occasionally noisy, dusty, and odorous conditions.

Be prepared and able to stand in a relatively stationary position for extended periods (2 to 4 hours) to perform specific maintenance functions when assisting with maintenance or lift operations.

Additional:

Be prepared and able to endure extended periods of equipment operation, i.e., snowmobiles and other off-road vehicles. Adverse weather should be expected, and operating time maybe 3 to 5 hours per work shift.

Be prepared and able to work extended hours (10 + hours/day) in a safe manner and in all adverse working conditions.

Current Hiring Range: $20-26/hr (DOE)
