Purpose:

To take delegated responsibility for operational and/or contractual requirements of, and relationship between the University and its service providers, in various areas



Brief Description

Key responsibilities include the following:

Plan, organize, prioritize and manage the work of subordinates

Provide guidance, train, and correct subordinates

Implement University disciplinary process when required

Effective handling of clients requests and complaints

Call Logging

Customer Complaints

Escalation of unresolved complaints to management

Communication of all Cleaning related schedules Leave Administration

Capture all approved leave requests on the system

Attendance Register Administration

Ensure that the Attendance Register corresponds with approved leave and overtime

Stores Administration

Verification of stock figures

Capturing of closing stock figures

Ordering of stock as and when required

Plan and coordinate all specialized cleaning projects

Services malfunction reporting

Building related maintenance issues

Cleaning/hygiene related issues

Handling of queries

Taking meeting minutes to all customers

Assist with any administrative duties as per instructions/based on operational needs

Bookings of ad hoc services needed by the division

Keeping abreast with Industry Trends and Best Practice

Generate quotations as and when required

Monitor actual expenditure against the budget

Effective handling of clients requests and complaints

Call Logging

Capture all approved leave requests on the system

Overtime Administration Capture all OT on the system

Attendance Register Administration

Ensure that the Attendance Register corresponds with approved leave and overtime

Stores Administration

Capturing of closing stock figures

Ordering of stock as and when required

Services malfunction reporting

Building related maintenance issues

Cleaning/hygiene related issues

Contracts management

Handling of queries

Liaise with Service Providers to update stock catalogues

Taking meeting minutes to all customers

Assist with any administrative duties as per instructions/based on operational needs

Bookings of ad hoc services needed by the division

Keeping abreast with Industry Trends and Best Practice

Requirements:

Grade 12

Certificate in Operations/Hospitality (Services related industry)

Licenses:

Valid driver s license

Required years of related experience:

3-5 years Cleaning Supervision and Administration

3-5 years Staff Management Experience

Technical Competencies:

MS Office (Excel & Word)

Cleaning & Hygiene

Ability to Manage Multiple Tasks Simultaneously

Ability to manage and coordinate large cleaning teams
