This role is based in our Joburg office.
Job Overview:
We are seeking a dedicated and organized Office Services (OS) Specialist to oversee the daily operations of our Johannesburg office. This role will involve supervising the Receptionist and Office Assistant, ensuring that the office runs smoothly and efficiently. The ideal candidate will be comfortable covering reception duties during periods of leave and will serve as a key point of contact for all office services-related queries. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to communicate effectively across various levels of the organization.
Key Responsibilities:
Act as SPOC for the Johannesburg office
Provide exceptional client service, addressing incoming inquiries via phone, email & in-person, ensuring accuracy and professionalism in all written and spoken interactions.
Supervise Office Assistant daily, providing guidance and support to ensure efficient office operations.
Reception duties, including greeting visitors, answering phone calls, managing incoming correspondence.
Manage and maintain a tidy and organized office, working closely with the on-site Office Assistant and facilities team.
Manage office & building access.
Manage staff & visitor parking allocation.
Manage OS calendar and mailbox.
Manage daily on-site meetings, including catering arrangements and room set up with FM & IT departments.
Act as AMEX local level relationship coordinator for corporate credit card account handling applications and cancellations, queries and escalations.
Prepare and distribute internal and external communications accurately.
Process invoices and raise requisitions in iProcurement system.
Serve as the local BCD Travel point of contact for employee-related travel service queries, providing assistance and guidance as needed.
Manage Office Services onboarding/offboarding processes.
Conduct OS inductions and employee sessions and ensure relevant materials are up to date.
Act as Zoom Workspace Reservations champion ensuring staff adhere to guidelines on office space bookings.
Assist with budgeting and forecasting vendor costs for OS/RE.
Update office intranet portal and manage documentation storage.
Collaborate with OS Leadership for process consistency across IMEA offices.
IT Support:
Issue guest Wi-Fi access and troubleshoot basic IT issues.
Assist with ZOOM troubleshooting and audio-visual setup.
Escalate IT issues to the MMC Tech team.
Facilities:
Serve as the primary point of contact for facility-related inquiries from staff and management.
Coordinate with the onsite facilities team to ensure the office environment is immaculate, addressing any requests and issues in a timely manner.
Liaise with service providers and contractors for facility-related services, such as cleaning, landscaping, and security.
Monitor the office during the DLP phase, ensuring that any identified issues are highlighted and resolved promptly.
Assist in the planning and allocation of office space to optimize usage and efficiency.
Manage office layout and configuration to accommodate changing needs.
Ensure compliance with health and safety regulations and standards.
Conduct regular inspections of the facility to identify potential hazards and implement corrective actions.
Report and log HSE incidents.
Monitor expenses and identify cost-saving opportunities related to facility operations.
Maintain inventory of office supplies and equipment needed for facility operations.
Order and restock supplies as necessary to ensure smooth operations.
Promote and implement sustainability practices within the office.
Serve as fire warden/first aid responder
Soft Skills:
Proven experience in office management/facilities or a similar role.
Strong supervisory skills with the ability to lead and motivate a team.
Strong organizational skills and attention to detail with ability to handle multiple tasks and prioritize effectively.
Proficient in written and spoken English, with impeccable grammar and communication skills.
Positive, proactive, and collaborative mindset.
Highly organized and detail-oriented, capable of working well both independently and within a team.
Professional and tactful, able to engage with colleagues at all levels.

Technical Skills:
Proficiency in Word, PowerPoint, Excel, and Outlook.
Knowledge of video conferencing is a plus.
Knowledge of smart office solution is a plus.
Knowledge of iProcurement or similar payment platform is a plus.
Experience Required:
Minimum of 3 years’ experience in an office management/facilities role.
Experience in a management consultancy and/or professional services environment is a plus.
