Office Supervisor - Defiance Clinic

Our hospitals, care sites and clinicians are recognized for clinical and operational excellence. **Office Supervisor** The Supervisor will focus on Copay Collection & Mychart digital registration initiatives, onboarding & training new associates, staff scheduling, quarterly check-ins, performance standards, supply ordering and budgeting, and improving workflow processes for Mercy Defiance Clinic. Supervising the current associates within Patient Access, Patient Services, Switchboard and Insurance Office. **Position Summary:** Provides management oversight of specific practice site location under the direction and guidance of the Practice Manager/Administrator. Maintains sound practice operations of site with a focus on operational efficiencies, the achievement of financial budgets and benchmark targets in a manner that adheres to the Bon Secours mission and values. Acts as liaison for Practice Manager/Administrator with affiliated physicians working at the site. Must be able to prioritize and multi-task duties required by multiple physicians. Possesses knowledge of physician practice front office and clinical operations. Integrates site operations with overall practice operations and St. Francis Physician Services, Inc., strategies, mission and vision. Provides Practice Manager/Administrator with value-added management plans and services for physicians and their practice environments. Establishes strong physician and staff relationships to ensure patient focused culture. The position focus is the achievement of outcomes at site such as demonstrated improvement in practice financials, physician productivity, patient satisfaction, employee engagement, and regulatory compliance. **Minimum Required Qualifications:** Two to three years of formal training beyond high school in business school, clinical area or college or equivalent combination of education and physician office experience preferred. College graduate desired. Working knowledge of medical office operations, financial management of small business, coding and billing activities and computerized software products. Must be able to command a reasonable knowledge of medical terminology, anatomy and physiology. Possess financial management skills in order to focus on cost containment and optimal reimbursements. **Position Responsibilities:** + Manages physician office site under direction of Practice Manager/Administrator in a manner that promotes optimal physician productivity, safe and efficient patient care in a cost effective manner, achieves optimal patient satisfaction and engages employees to perform at their highest level. Insures site operations are performed in a manner consistent with the Bon Secours mission and values. + Maintains strong relationships with Practice Manager/Administrator and Practice Operations Manager, keeping appropriate parties informed of practice site operations. + Manages practice site budget and reviews and addresses variances with Practice Manager/Administrator + Works to manage elements under site control to maintain or exceed AR benchmarks. + Maintains adequate staffing levels for all aspects of the site; aiding in recruitment, selection of candidates, and maintenance of turnover targets. + Provides on-site and direct leadership and management of direct reports. Insures that site specific clinical staff members are competent in patient care activities such as injections, vital signs, etc. + Under the guidance of the Practice Manager/Administrator plans and prepares meeting agendas and minutes for site meetings and facilitates meetings as requested by physicians or other entities. + Assumes responsibility when directed for project management relative to site office, e.g. equipment upgrades, software implementations, new physician integration to practice, quality plans, etc. + Guides annual patient satisfaction surveys and employee engagement surveys at office site. Implements process for responding to patient and employee concerns and issues in conjunction with Practice Administrator and Director of Practice Operations. + Guides continuous performance improvement plans and processes at site. + Insures proper documentation in patient medical record for services provided by physicians and clinical staff members and insures that HIPAA privacy and security standards are met.
