What You'll Do

As an Office Operations Specialist in our Berlin office, you’ll play a key role in creating a smooth, welcoming, and efficient work environment at the heart of our daily operations. With your process-oriented and precise work style, you’ll support the Office Operations Director in all areas of office management and on a wide range of administrative activities, including special assignments. In addition, you’ll serve as a reliable point of contact for current and new employees at the One BCG Berlin office regarding all administrative and workplace-related questions. This position requires an on-site presence five days a week, with some flexibility for remote work.

 

Your responsibilities will include:

 

Facility and infrastructure management: Acting as the main point of contact for our external facility services provider. You’ll ensure that all services are delivered to the highest standards for BCG, its entities, and our subtenants. This includes maintaining smooth daily operations and coordinating with vendors on repairs, maintenance, and improvements across the office.Workspace assignment: Supporting the efficient allocation and setup of workspaces in coordination with the Workplace Experience team. You’ll also act as the administrator for the booking system used for desks, rooms, and other shared spaces.Office access administration: Managing office access systems such as ISGUS, including onboarding/offboarding access rights, badge handling, and hard keysOffice relocation and renovation projects: Coordinating service providers and logistics to ensure smooth transitions during office moves or renovation phases.Occupational health: Organizing workplace medical care in coordination with the company physician, ensuring compliance with health-related obligations.Safety and security: Coordinating first aiders and fire protection assistants (“Ersthelfer & Brandschutzhelfer”). Acting as the leader of the local Safety & Security Council and taking part in ASA meeting.Occupational accidents: Managing and documenting workplace accidents in cooperation with HR, Legal, and insurance providers. You’ll also be responsible for investigating the root causes, identifying potential hazards, and working proactively to minimize future risks in the office environment.Incident response: Supporting incident response processes and contributing to organizational preparedness and resilience in collaboration with the Incident Response Team (IRT).Occupational accidents: Managing and documenting workplace accidents in cooperation with HR, Legal, and insurance providers.Process improvement: Continuously contributing ideas to further develop and implement concepts that improve internal workflows and service delivery.

 

In cases where you substitute for team members, you’ll also take over welcoming and onboarding our new colleagues on their first day. At the same time, you’ll ensure that the offboarding process for departing colleagues is handled smoothly and positively, leaving them with a good overall experience. You’ll be working in close partnership with the Office Operations Director and cross-functional teams to ensure the Berlin office runs efficiently, safely, and in line with BCG’s high standards for workplace experience.



What You'll Bring

You have successfully completed vocational training in the field of office management or hospitality.You have gained some work experience in a comparable position.You’re proficient in the MS Office suite.Your written and spoken German and English language skills are excellent

Who You'll Work With

You’ll be working closely and as one team with our other Office Operations Specialist and will report to the Office Operations Director in the Berlin office. In your day-to-day work, you’ll collaborate with various functional support teams including Office Services, Recruiting, IT, and more. You’ll also coordinate with external service providers, landlords, subtenants, and internal partners such as L&D Campus and other BCG entities. Our team is highly collaborative and values continuous learning. Your manager will be a strong resource for support and troubleshooting, providing guidance and developmental feedback as you grow your career at BCG.
