Office Manager/Receptionist

The Office Manager/Receptionist will be responsible for the organization and day to day maintenance and upkeep of the Bell Partners Greensboro home office.  In addition, this role will be responsible for receptionist responsibilities as a first responder to phone calls and in-person guests to the office.  

A successful office manager is an energetic professional who doesn't mind wearing multiple hats. This person is expected to be experienced in handling a wide range of administrative duties, is able to multi-task efficiently and effectively, and is calm under pressure and able to work independently with little supervision. This individual is well organized, flexible, and enjoys the administrative challenges and responsibilities of supporting an office of diverse people, as well as supporting the company’s partners and guests.

Essential Functions and Responsibilities:

Serve as the first point of contact with customers, employees, and other visitors as they enter the Bell Partners Corporate office, or call the home office

Performs administrative and clerical support tasks

Manages the front desk

Answers incoming calls and transfers to proper departments

Administers and tracks visitor and employee access to the office

Interacts effectively with major stakeholders of the company – associates, investors, clients, vendors, residents, etc.

Receive and distribute deliveries such as Fed-Ex, lunch orders, gifts, flowers, etc.

Generally, “keeps up” the home office, ensuring it remains tidy, clean and organized for associates and guests

Ensures availability of office supplies, stationery, electronic items, batteries, etc.

Manage inventories and also conduct contingency planning for the same. 

Point person for maintenance requests, mailing, shipping, supplies, equipment

Prioritizes conflicting needs; handling matters expeditiously, proactively, and ensuring follow-through on projects to successful completion, often with deadline pressures

Assist with office layout planning, related associate move needs, office moves and décor, etc.

Liaison with the building management office and communicate updates to Bell home office associates thereafter

Maintain office equipment such as printers/copiers, postage meter, etc.

Provide support as needed to other operations leaders

Assist with other tasks and projects as requested

Knowledge, Skills and Abilities:

Must display a professional image and demeanor at all times

Must have flexibility in working hours

Must be resourceful and well organized; must be able to anticipate needs

Strong knowledge of Microsoft Office tools, including Word, Excel, Outlook and PowerPoint

Notary Public certification

Ability to maintain confidentiality

Ability to set priorities and manage multiple tasks

Ability to effectively communicate verbally and in writing

Ability to define problems, collect data, establish facts and draw valid conclusions

Must demonstrate support of Bell Core Values

Must demonstrate ability to successfully work on a team

Must be able to clearly communicate both orally and in writing

Must be able to understand directives both orally and in writing

Education and Background:

Education:  BA degree or equivalent preferred

5+ years executive administrative experience required
