Job Description

We are seeking a highly organized and detail-oriented Office Manager to oversee daily office operations, manage company accounting functions, and assist with compliance with federal and state regulations. This role is responsible for maintaining financial records, organizing project accounting and documentation, and preparing financial information for the CPA.

ResponsibilitiesOversee and manage aspects of company accounting, including accounts payable, accounts receivable, payroll, and project accounting.Organize and track project accounting, maintain documentation of project-related financials, contracts, employee timesheets, and administrative records.Prepare and provide accounting records and financial reports to the CPA for tax filings and compliance.Manage office administrative tasks, including ordering supplies, and serve as a point of contact for vendors, clients, and internal staff regarding financial and operational matters.Implement and maintain organized filing systems (both digital and physical) for financial and administrative records.Assist in report documentation, proposal development, company qualifications documentation, project specifications, and other non-technical project-related tasks.Essential SkillsAccountingOffice managementReconciliationAccounts payableAccounts receivablePayrollProject accounting4+ years of experience in office management, including overseeing accounting functions (AP, AR, Payroll)Administrative supportData entryProject managementAdditional Skills & QualificationsAssociate or bachelor’s degree in Accounting, Finance, Business Administration, or a related field.Proven experience in office management, accounting, and compliance documentation.Proficiency in accounting software with preference for Billquick (BQE)Experience with federal and state regulations, including tax filings, labor laws, and industry-specific requirements.Work Environment

Opportunity to work for a small but highly regarded structural engineering firm in Honolulu. The office has a very tight-knit, family culture. The role requires in-office presence Monday through Friday.

Pay and Benefits

The pay range for this position is $31.25 - $33.65/hr.
