Our client, a pharmaceutical company in Lexington, MA, is seeking an Office Coordinator to join their team! This role is onsite in Lexington, MA, full time hours Monday through Friday, temporary with potential to extend, and paying $24/hr. Interested and qualified candidates are encouraged to apply today!

Key Responsibilities

ReceptionMonitor Ring doorbell during business hours and manage front entrance activity. Receive and route visitors and vendors as neededAnswer and direct incoming inquiries via email, phone, and in-person. Regularly check voicemailbox and relay messages to the appropriate department or individualMonitor and maintain the office lobby, ensuring it is welcoming, clean and organizedOffice CoordinationOrder and maintain appropriate stock of office supplies including kitchen essentials. Regularly check inventory levels to ensure the office is well-equipped and prepare supply orders as neededManage daily breakroom stocking, ensuring that both staff kitchens are equipped with necessary supplies like coffee, tea, fruit, disposable paper goods and cleaning materialsMonitor and maintain the tidiness, organization and general upkeep of common office areas including kitchens, copy rooms, conference rooms, hotel workstations and outdoor spacesCoordinate with the Executive Assistant, Facilities Specialist and/or Property Manager to schedule repairs and maintenance of Lexington office equipment and facility with existing vendors, as neededShipping and ReceivingReceive, sign for and distribute incoming mail, packages and deliveries to the appropriate departments or staff membersCoordinate with Facilities Specialist on weekly interoffice exchange of USPS mail delivered to Lowell facilityPrepare and process outgoing mail and shipments on behalf of Lexington staff, ensuring timely handling and delivery trackingAdministrative SupportAssist with scheduling appointments, coordinating meetings, and managing calendarsAssist the Executive Assistant with planning and coordination of internal meetings and events such as board meetings, team lunches and occasional Employee Engagement Committee initiativesSupport Executive Assistant and Lexington staff with ad hoc administrative tasks and projects as assigned

Qualifications

High school diploma or equivalent required; associate or bachelor's degree preferredPrevious experience as a receptionist, office coordinator, or similar administrative role is highly desirable but not requiredStrong communication skills, both verbal and writtenFriendly, professional, and approachable demeanor with a strong customer-service orientationReliable and dependable; Able to maintain confidentiality and handle sensitive information with discretionExcellent computer skills and familiarity with Microsoft Office Suite (Word, Excel, Outlook, etc.)Excellent organizational, prioritization and multitasking abilities and strong attention to detailAbility to lift and carry packages up to 25 pounds, as needed

Work Environment

Fast-paced office environment with frequent interactions with guests, staff, and vendors.Occasional physical activity, including moving supplies or handling deliveries.
