You can join us today as an Office Coordinator supporting our Polish team with HQ in Warsaw.

 

As the Office Coordinator, you will ensure the efficient operation of the Warsaw office and provide support to various stakeholders, including those at other GXO locations in Poland. You will work in a dynamic and fast-paced environment with a range of evolving challenges.

 

What does your day look like in the role of our Office Coordinator: 

Office management: handling professional phone or email communication regarding the office related matters cooperating with building administration and subcontractors (cleaning, technical services, etc.), reporting office issues and arranging repairs coordinating and booking conference rooms organizing meetings and company events managing parking spaces and pool car bookings Other admin duties: managing and organizing all documentation related to the warehouses in Poland archiving files and documents preparing and forwarding documents for signature by a Board Member developing a contract register (currently in progress) Purchasing: managing office and food supply orders, ordering office equipment collecting purchase offers and liaising with the Purchasing Department creating orders in the Coupa system and assisting colleagues with the process Phone and fleet management: managing phone numbers, services, and equipment ordering phones and SIM cards for new employees as well as supporting the regular phone exchange process for GXO across Poland managing lease car offers, issuance, and returns assisting with services, tire changes, and damages, car washes handling car registry, fuel cards, and documentation communicating with supervisors on fleet matters

 

What do you need to be successful:

About 2 years of relevant experience in office coordination/management Language skills: fluent Polish, communicative English (min. B2 level) Proficiency in Microsoft Office software Valid driver's license and willingness to drive as part of the role Strong ability to manage multiple tasks, prioritize, and maintain an organized workspace Excellent verbal and written communication skills, as the role often involves interacting with employees, suppliers, and clients Ability to handle unexpected challenges and resolve office-related issues quickly Ensuring accuracy in documentation, scheduling, and office management tasks
