Your Opportunity

Stantec is seeking a motivated individual to contribute to provide administrative assistance for Anchorage, Alaska office. 

Your Key Responsibilities Assist with office management and administrative duties such as ordering equipment and office supplies, invoicing, electronic file storage, etc.  Customer service support such as serving as the key point of contact for the Anchorage office, greet visitors and clients ensuring a professional and welcoming environment, answer direct phone calls (providing information, taking messages, redirecting calls), etc.   Support internal staff with errands for project managers and marketing. Onboarding (desk space, I-9 form verification, new hire packets, IT setup form, ordering nameplates, badges, orientation, business cards) and Off-boarding employees. Archiving Basic administrative skills: faxing, copying, scanning, and filing. Communicating with the landlord any building needs and repairs that arise and third party vendors. Maintain vehicles: vehicle mileage logs, vehicle maintenance scheduling and associated drop off/pick up, maintaining adequate vehicle registration and insurance, safety inspections (including fire extinguishers and first aid kits), etc.  Handle incoming and outgoing mail including sorting and distributing documents.  Oversee registration and assist in generating/acquiring marketing and promotional materials for various conferences, career fairs, and expos.  Support field staff, office staff, and management on day-to-day operations. Keep any required employment-related posters posted in public areas and in good condition Maintain recognition calendar (birthdays and anniversaries) Account payables coding for projects. Office HR information distribution. Printing services coordination and management Coordination for returning project samples and materials to vendors at project completion. Your Capabilities and Credentials Excellent written and spoken communication skills; working knowledge and proficiency with word-processing and integrated software applications including Microsoft Suite and Adobe. Organization skills and ability to perform detail-oriented work are required.  Ability to work independently and with others. Ability to multi-task and work in a fast-paced environment. Commitment to safety and Stantec safety protocols and standards. Possess a valid driver's license with a good driving record.  Education and Experience  Bachelor’s degree or a combination of education and administrative related experience in a professional setting. 

Typical office environment working with computers and remaining sedentary for long periods of time. Ability to lift and move items and equipment up to 50 lbs.
