Overview The Office Coordinator offers front office administrative support to various departments at the VEBA Resource Center at 2 locations. Pay Rate: $22 / hour This is a Temp-To-Hire It will be a W-2 position (We are not able to do 1099 or C2C) You must meet our U.S. Eligibility requirements for work authorization as noted under "Additional Information" at the bottom of the job description Address of onsite locations: 1843 Hotel Circle S. San Diego, Ca 92123 How you'll make an impact Support location's Member Experience and Operations Multi-site flexibility Support administrative duties i.e.: preparing and/or organizing documentation, reports and presentations. Provides high quality service to variety of members over the telephone, email and in-person encompassing both verbal and written communication. Responsible for the servicing of existing clients-identifying and assessing member needs to achieve satisfaction. Follows-up on member issues, researches problems and processes documents necessary to ensure a successful resolution. Provides accurate, valid and complete information by using the right methods/tools. Provide a proactive approach to a variety of customer service procedures that may deviate from standard protocol by listening to the member, taking ownership of solutions and escalate issues as appropriate in order to resolve concerns. Ability to diffuse volatile situations and use good judgment and tact in dealing with members. Assist members in database registration, completion of initial paperwork including consent/release forms, resource referrals and facilitate biometric and other screenings. Provide excellent service and communication to providers, clinical and management team. Work with providers and clinical team to manage request for services. Capable of efficiently managing multiple phone lines in a professional office setting. Schedule and coordinate member appointments, meetings, classes, consults, planning needs, and department communication as needed. Manage and prioritize projects to meet deadlines. Actively monitors the use of confidential member information to maintain appropriate levels of confidentiality as established under HIPAA (the Health Insurance Portability and Accountability Act). May assist in gathering necessary reports, statistics, and outcomes for the VRC as needed. Other duties as assigned. #LI-MB4 #contingent About You Education, Training, and Experience High School diploma and a minimum of 1 years’ experience. Working knowledge of Microsoft Windows applications and Microsoft Office. Desired Good verbal communication skills. Associates Degree preferred. Minimum 4 years of Customer Service, Employee Benefits or insurance related experience preferred. High attention to detail General knowledge of medical/well-being delivery system and terminology. Excellent organizational and multitasking skills Effective interpersonal and customer relation skills Must be able to maintain calendars, schedules and meetings for personnel and members Able to work successfully both independently and in a team-based environment Strong typing and basic computer skills. Medical/well-being office experience required with a strong emphasis in customer service, computer skills and phones or completion of a medical receptionist or equivalent training program preferred.
