City/State: Valhalla, NY Category: Clerical/Administrative Support Department: Anesthesiology Union: No Position: Full Time Hours: 6:45a - 3:15p Shift: Day Req #: 41352 Posted Date: Apr 29, 2025 Hiring Range: $25.03- $31.47 Apply Now External Applicant link (https://pm.healthcaresource.com/cs/wmc1/#/preApply/29203) Internal Applicant link Job Details: Job Summary: Office Coordinator is responsible for performing a variety of administrative and clerical duties that support the administrative director, manager, physicians and advanced practice providers of the Department of Anesthesiology Responsibilities: + Coordinate and/or arrange meetings, conference calls, travel schedule and schedule interviews. + Manage communication and correspondence as well as greeting visitors and maintaining office supplies for the department. + Maintain calendars and meetings for senior leadership in the department as needed to create a manageable schedule. + Work with all internal departments to facilitate smooth flow of information. + Prepare PowerPoint presentations, word documents, mail merge and excel spreadsheets as requested. + Facilitate ordering and ticket placement (i.e facilities, IT, purchasing, etc.) as needed for the department. + Create/print additional reports as needed by leadership team. + Complete additional special projects as assigned. + Manage and distribute information and delegate as needed within the Anesthesia office which includes clerical tasks, answering phones, taking memos, taking and distributing minutes, maintaining files and maintaining calendars/meetings of senior managers. + Manages timekeeping duties for the department + Manages reimbursement processes + Manages academic appointment processes + Assists with credentialing tasks + Supervision, delegation and training of department administrative assistants as needed Qualifications/Requirements: Experience: Minimum two years of experience in a healthcare setting. Ability to organize/prioritize duties. Knowledge of medical terminology and office procedures. Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving. Education: High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred. Licenses / Certifications: Other: Must be Proficient in MS Word, MS Excel and MS Outlook. Creative and persistent problem solver. Ability to interact and communicate with individuals at all levels of the organization (internal and external). Strong interpersonal skills to handle sensitive situations and confidential information. Ability to multi -task and prioritize workload in a fast-pace environment.
