Job Description: Temporary Office Assistant (Bilingual - Spanish)
Location: Santa Clara
Schedule: Monday–Friday, 40 hours/week
Duration: 6 weeks (Temporary, to cover an employee on Leave of Absence)
Overview: We are seeking a skilled Temporary Office Assistant to provide administrative and organizational support to our team for six weeks. The ideal candidate will have strong proficiency in Microsoft Excel and Word, exceptional organizational skills, and the ability to assist with onboarding and coordinating tasks in both English and Spanish. This is a great opportunity to join a dynamic team in the construction or electrical services industry.
Responsibilities:
+ Data Management & Reporting
+ Utilize Excel for tracking and organizing data related to electrician certificates and tools inventory.
+ Generate reports, update records, and maintain accurate documentation as needed to meet compliance standards.
+ Certificate & Tool Tracking
+ Maintain up-to-date records of electrician certifications and ensure timely renewals.
+ Track tools and equipment to ensure all are recorded, checked in/out properly, and in good working condition.
+ Onboarding Support
+ Assist in onboarding new electricians, ensuring all necessary paperwork is completed.
+ Provide bilingual (Spanish/English) support during onboarding sessions to effectively communicate policies and procedures for Spanish-speaking employees.
+ Administrative Tasks
+ Draft, edit, and format documents in Microsoft Word.
+ Answer emails, organize files, and perform general office support duties.
+ Serve as a point of contact for employee-related inquiries during this period.
Requirements
Qualifications:
+ Technical Skills:
+ Proficiency in Microsoft Excel and Word (Intermediate–Advanced level preferred).
+ Strong organizational skills and attention to detail.
+ Experience:
+ Prior experience in administrative support or similar roles preferred, ideally in construction, professional services, or business services industries.
+ Familiarity with tools inventory management or certification tracking processes is a plus.
+ Language Skills:
+ Bilingual (English and Spanish) is required to communicate effectively with Spanish-speaking team members.
+ Soft Skills:
+ Strong communication skills, both written and verbal.
+ Ability to work independently and manage time effectively.
