Job Description Summary

               

This is a Human Resources position that serves as the first point of contact at the plant to provide administrative and/or specialized support to all plant operations including (but not limited to): Human Resources, Production, Payroll, Finance, Engineering, Maintenance, Safety, Quality, and Agriculture.

This position performs various work assignments including interacting with employees on a daily basis in a positive and supportive manner, directing any employee inquires to the appropriate department, assisting in the communication of Company safety policies and procedures to enhance a safe and healthy work environment, assisting in strategies to reduce absenteeism and overtime cost through maintaining and developing consistent scheduling objectives, and maintaining accurate employee records, files and data for daily and monthly reporting.

Job Description

Day Shift: 6:00 a.m. to 6:00 p.m. Rotating: Four days on, five days off, five days on, four days off. And, ability to work weekends and holidays.

Provide professional, positive customer service to all employees and external visitors.Answer incoming telephone calls and assist caller or forward to appropriate personnel.Ensure on-site visitors/vendors/contractors sign in properly, complete necessary orientations if needed, and are connected with their appropriate employee contact.Monitor and maintain an accurate record of all personnel on-site including employees, contractors, and visitors.Complete daily monitoring and reconciliation of work hours (timecards) to capture employment data for payroll, attendance and record keeping.Maintain job coverage throughout shift to ensure all departments are staffed based on daily needs.Organize employee requests and complete the corresponding paperwork as needed.Document/log all employee call-ins and messages.Monitor, track, and reconcile data in all HR scheduling, timekeeping & payroll systemsAssist employees at self-service kiosk as needed.Perform administrative duties such as filing, processing cheques, copying, cleaning and stocking.Maintain positive employee relations by possessing the ability to effectively communicate and handle a variety of employee situations in a supportive manner.Assist with follow-up meetings for new employees as part of the company retention plan.Assists in maintaining accurate employee records, files, and data for daily and monthly reporting.Assist in organizing of company and employee activities and events.Assist in strategies to reduce absenteeism and overtime cost through maintaining and developing consistent scheduling objectives.

Basic & Preferred Qualifications

Minimum qualifications required to successfully perform the job or be considered

Education/ Certifications:

A minimum of 2 years’ experience in administrative work or any equivalent combination of education, or training and experience that demonstrates the ability to perform the duties of the position.Two-year College or technical school certificate preferred.

Skills and Experience:

Strong analytical skills, including use of data, and problem-solving tools.Strong ability to maintain an organized workload while providing high-quality customer service.Strong proficiency in multi-tasking and handling multiple priorities.Strong PC skills (Word, Excel, Power Point, Outlook, MS Windows Operating System, and internet-based programs).Excellent communication skills, both written and verbal.Human Resource knowledge and experience preferred.Experience with Kronos, Workday and Workloud programs preferred.Ability to maintain confidentiality required.Ability to maintain strong work ethic with minimal supervision.Must be able to work a flexible schedule including weekends, overtime, and statutory holidays.

Most work is performed in a temperature-controlled office environmentIncumbent may sit for long periods of time at desk or computer terminalWhile performing the duties of this job, the employee is regularly required to sit; use hands; reach with hands and arms; and talk or hear. Incumbent may use calculators, keyboards, telephone and other office equipment in the course of normal workdayStooping, bending, twisting and reaching may be required in completion of job dutiesAbility to lift up to 35 pounds and to stand, walk, bend, stoop, twist and turn frequently. Exposed to a noisy environment that varies from hot to cold in temperatureAbility to do repetitious arm, wrist and hand movements required for job actions and procedures.
