Role Purpose
As an Occupancy Planner, you’ll be driving all aspects of strategic planning activities to be performed. This includes but not limited to Scenario Planning exercise, Campus Migrations and restacks planning, Space requests and Planning. You’ll need to have a great knowledge in Corporate Real Estate. You’ll be charged with assembling, updating, and reporting the top-down and bottoms-up seat count projections collected at the group-level for an annual planning horizon and work with the client to reconcile discrepancies from top-down projections, as well as track and report actual seat demand at the group level. You must be familiar with typical occupancy metrics, sharing ratios, and industry occupancy trends.

To be successful in this role, you should be able to ensure accurate reporting of information, attention to details and foster critical relationships between various individuals and organizations communication channels will exist with:
Corporate Real Estate to review and resolve planning forecast requirements, concerns, and issues.Business Unit leadership to Gather and collate project specific inputs from all internal stakeholders. Identify program requirements to assist in the development of project scope, development of migration plans and strategies based on business adjacencies, regulatory & compliance requirements.Participate/ coordinate project and move coordination meetings. Develop migration plans and sequencing of group- level moves/ relocations.Implement various pilots for Future of Work-related initiatives, review and analyze utilization studies, workplace survey recommendations. Measure, monitor and report cost saving, and value-added contributions.Part of move coordination team to review and approve moves, develop migration plan and conduct facility audits. Identity and support stakeholders related queries and requirement.Assist Planning Lead to manage relationships with Divisional Leadership across India Portfolio regarding space planning based divisional projections and RE planning advice to Clients that is in line with a long term strategic vision, direction that aligns with divisional occupants.Co ordination in collaboration of headcount projections and reforecast to device suitable RE strategy for the divisions.Establish client; s requirements leading to approvals for all near – term RE projects and moves of the divisions.Assist GS Planning Lead in formation and updation of Asset Investment Plan (AIP) on a quarterly basis based on the new projects, initiatives, client requirements, infrastructure planning and operational repair / maintenance needs of the region.Ensure Monthly and Quarterly updates are factored into the forecasting and space review process.Assist GS planning Lead in preparing presentations, divisional documentation, Monthly reports, project updates and postings, detailing project status including budget and schedulung risks, opportunities, decisions required and milestones etc.Review, analyze and provide recommendations, based on space utilization, seat demand and occupancy levels.Producing approval documentation, presentation material for all management and Leadership meetingsSummarize findings and recommendations for action or consideration by Clients.Facilitate and/ or resolve planning issues identified in Client discussions and ensure planning team is aligned with corporate guidelines with ensuring optimal utilization of space.Recommend, educate and implement space policies. Requirements
A bachelor’s degree in real estate, Finance, Architecture, Design, Construction Management, or related field is required; also along with minimum of 5 – 7 years of experience in corporate environment. Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable. CAFM system experience also highly desirable.
You’ll need to be dynamic and technologically savvy and utilize software to support planning solutions and communicate ideas clearly with planning team and lines of businesses. You will be successful if you have advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations), and AutoCAD (basic test-fits and square foot calculations). Proficiency in Microsoft Office suite and ability to consolidate data and floor plans into Power Point for presentations to client and lines of business is highly valued. You’ll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients. You’ll discover how to be proactive and innovative with solutions for your stakeholders.
Excellent communication skills are important – both written and spoken – and we’ll expect you to work independently, multi-task, and manage your time to meet deadlines. You keep on top of things as you’ll often need to reorganize your time day to day, to deal with your team’s changing necessities and requests. An individual with strong interpersonal skills with an ability to interact with executive level external and internal clients will be successful in the role. Most importantly, you’ll want to work as part of a diverse supportive and talented team.
