What You'll Do

As an Event Specialist, you will support the delivery of high-quality BCG events across multiple functions, including Employee Engagement, Alumni, Learning & Development (L&D), Executive Assistants (EAs), and more. Reporting to the Event Manager, you will play a key role in ensuring seamless event execution by assisting in event administration, coordination, vendor onboarding and logistics.

This role requires a proactive, detail-oriented professional who can work collaboratively with internal teams and external providers to uphold BCG’s high event standards. You will help maintain security, health, and safety protocols while managing logistical aspects to ensure successful event outcomes.

 

You will be responsible for:

Assist in arranging on-site and off-site BCG leadership meetings, including venue sourcing, contracting, and catering coordination.Provide organizational and logistical support for medium to large-sized external client and practice area events.Support in coordinating major Social Committee events, ensuring alignment with BCG’s standards.Assist in arranging logistics for BCG’s participation in major conferences and forums.Coordinate with event agencies, catering companies, venues, and other providers to ensure quality service and cost efficiency.Support the implementation of Service Level Agreements (SLAs) for internal and external events, ensuring a five-star experience within optimal budget constraints.Assist in tracking project budgets, including approvals, cost tracking, and risk management.Create project plans for events with event milestones, tracking task responsibilities and updating progress.Maintain data integrity within the event management database.Collaborate with internal stakeholders and provide administrative support as needed.Perform other duties as assigned by the Event Manager.

YOU’RE GOOD AT

You have a sharp and analytical mind, are able to draw insights from complex and ambiguous data, and are able to effectively articulate strategic proposals to senior stakeholdersYou feel comfortable to perform and deliver detailed qualitative (i.e., driving a new strategy, benchmarking, conducting interviews, building KPI’s, identifying initiatives) and quantitative (i.e., gap analyses, analyze historical trends, draw insights from performance ratios) analysesYou are autonomous, able to work with ambiguity and are self-motivated. You have strong self-starter skills and like to “get things done”You are structured, able to multi-task on different projects under tight timeframes, and to convey this structure to the different stakeholders you are working withYou are a quick learner and drive your personal education about new topics – especially those pertaining to people functions (qualitative and quantitative analyses)

What You'll Bring

2-4 years of experience in event planning, agency side, MICE (Meetings, Incentives, Conferences, and Exhibitions), or hospitality.Strong organizational and multitasking skills, with the ability to handle multiple events simultaneously.Experience working with vendors, including contract negotiation and cost management.Creative problem-solving skills and the ability to think outside the box.Strong communication and negotiation skills, with fluency in English (Arabic is a plus).Ability to work effectively in a team-oriented, fast-paced environment.Positive attitude, attention to detail, and a proactive approach to event planning.

Who You'll Work With

You will be an integral part of the Operations Team, collaborating closely with the Middle East Event Manager and other internal teams. You’ll also engage with external vendors and service providers to ensure event excellence. The team fosters a collaborative environment where members support each other and share knowledge to drive success.
