Microsoft 365 Administrator (Hybrid)

Vanderbilt University Information Technology (VUIT) is seeking a Collaboration Administrator who will play a pivotal role in supporting the operation and maintenance of the university's collaboration technologies, with a strong emphasis on Microsoft Teams Telephony administration. This role will back up VUIT’s senior administrator for Teams telephony, in addition to administration of other collaboration tools. This position requires a comprehensive understanding of enterprise messaging, telephony, and collaboration services, contributing significantly to the support of students, faculty, staff, and various systems. The infrastructure managed by this role includes Microsoft and Google cloud tenants, Box, Zoom, Microsoft Teams telephony, as well as on-premises environments such as LISTSERV and Microsoft Exchange. The Collaboration Administrator ensures these systems are reliable, secure, and optimally functioning to support the university's diverse needs.

Duties and Responsibilities:

Collaboration Technology Management

Administer, configure, and maintain Microsoft 365 and Google Workspace environments to ensure seamless operation. Oversee the management of cloud and on-premises collaboration environments including Microsoft Teams telephony, Box, Zoom, Microsoft Exchange, and LISTSERV. Implement updates, patches, and enhancements to collaboration technologies to maintain optimal performance and security.

Technical Support and Troubleshooting

Provide advanced technical support for collaboration tools, addressing and resolving complex issues promptly. Assist end-users, including students, faculty, and staff, with inquiries and technical problems related to collaboration services. Develop and maintain troubleshooting guides and documentation to streamline support processes.

System Monitoring and Optimization

Continuously monitor the performance and health of collaboration systems, using monitoring tools to detect and resolve issues proactively. Analyze system performance data to identify areas for improvement and implement optimization strategies. Collaborate with IT teams to integrate new technologies and enhancements into the existing infrastructure.

Documentation and Compliance

Maintain detailed and accurate documentation of system configurations, processes, and procedures. Ensure compliance with university policies, industry standards, and regulatory requirements related to data security and privacy. Participate in regular audits and assessments to ensure adherence to best practices and compliance standards.

Training and User Education

Develop and deliver training programs and materials to enhance user proficiency with collaboration technologies. Conduct workshops and training sessions for end-users to promote effective use of collaboration tools. Create and update user manuals, FAQs, and other educational resources.

 

On-call Responsibilities:

The position has on-call responsibilities, which involve being available for after-hours incident response. This includes addressing daily incidents and requests when on-call. On-call duties are shared with other team members on a rotating schedule.

 

Supervisory Relationships:

This position does not have supervisory responsibility. This position reports administratively and functionally to the Collaboration Administration Manager. 

 

Education and Certifications:

Bachelor’s degree or equivalent, related experience is necessary. A bachelor's degree in Information Technology, Computer Science, or a related field is preferred. 1 or more current certifications related to Microsoft services is necessary.

 

Qualifications:

3-5 years of experience in IT support or a related field, with a focus on collaboration technologies is necessary. 1-3 years of Microsoft Teams Telephony administration is strongly preferred.  In-depth knowledge and experience with tools such as Microsoft 365, Google Workspace, LISTSERV, Box, and Zoom is necessary. Strong Knowledge of PowerShell scripting is necessary. Strong problem-solving skills and the ability to troubleshoot and resolve technical issues are necessary. Excellent communication skills, both written and verbal, to effectively assist and train end-users are necessary. Ability to work independently and collaboratively within a team environment is necessary. Proficiency with system monitoring and reporting tools to ensure optimal system performance is necessary. Demonstrated commitment to VUIT’s Guiding Principles is necessary.
