Job Scope
The coordinator position provides administrative coordination for internal and external Acumed meetings, including Medical Education and Sales Education courses, tradeshows, internal meetings, and meetings with external customers. Will perform tasks that are critical to the successful execution of a meeting, may include: coordination of in-person meetings held either at our offices or externally, hotel sourcing and contracting, booking of rooms, booking of travel, maintaining relationships with key hotel contacts, etc.
Responsibilities
Manage and oversee the incoming meeting request portal, to process incoming meetings requests from across the organization.Support other key stakeholders who have a high-frequency of meetings that need coordinator activity.Check incoming tradeshow email for upcoming tradeshows and workshop requests from the sales field.Help develop and execute meeting Standard Operating Procedures (SOPs), to ensure that each meeting follows consistent processes.Develop and nurture contacts with key hotel and travel contacts (e.g. Marriott Sales Reps).Develop, submit, and review RFPs with hotel chains, to ensure that Acumed receives favorable rates.Manage hotel bookings, which will include coordination of contracting with Acumed’s legal department.Coordinate and organize travel plans for HCPs, which may include airfare and ground transportation.Organize catering, AV, shipping logistics, show services, hotels for tradeshows and Visiting Surgeon Programs (VSPs).Support Medical Education, Sales Education, Tradeshow & Events Managers.Coordinate paperwork to reserve booth space for regional meetings, which may include payment and other show services required to support tradeshows. Enter in surgeon consultant request into IQVIA for Compliance approval.Coordinate surgeon consultant timesheets and payments.Track HCP spend and track/record for Sunshine Act.Assist with coordinating products needed to support events, tradeshows and VSPs.Track meeting spend vs budget monthly by region and business unit.Occasional travel required, which may include weekend travel, and extended hour support (e.g. pre-event setup, and post-event clean-up).Other duties as assigned.Qualifications
Associates degree or equivalent experience.4+ years of experience in meeting, event coordination or corporate meeting planning. Experience with International meeting coordination a plus.Experience with meeting planning for mid-large sized companies.Working knowledge of Cvent event/planning software.Knowledge and experience with ERP systems, preferably SAP, and its application in a quality-system environment.Ability to liaise and interact with key stakeholders.Ability to manage timeline.Proven problem-solving skills.Customer orientated and service driven.Interface effectively with all levels of the organization.Detail oriented and able to work within budgetary constraints.Independent, self-starter, enthusiastic and a strong work ethic.Must be a strong multitasker and proactively anticipate needs.Exceptional organizational skills with extensive knowledge of MS Office (i.e., Excel, Word, Outlook).Proven success in executing improvement plans and activities that achieve expected results.Strong verbal and written communication skills.Ability to communicate at all levels of the organization to influence change and drive system improvements to meet customer requirements.Ability to read and speak English sufficiently to understand and complete all necessary documentation.Following receipt of a conditional offer of employment, candidates will be required to complete additional job-related screening processes as permitted or required by applicable law.
