Medical Student Coordinator/Clerkship Coordinator 

 

Occupational Summary  

The Duke Department of Anesthesiology is seeking Medical Student Coordinator/Clerkship Coordinator to share in all aspects of the management and administration of its numerous medical student Undergraduate Medical Education (UME) programs. The role will assist the Director of Medical Student Education in oversight of Duke School of Medicine (SOM) anesthesiology programs including courses, learning and other activities for students in all four academic years (approx. 150 students/yr), plus visiting students from other medical schools. Activities will include, but are not limited to, the administration and management of the courses; planning and coordinating academic, operational, and financial activities; and assisting in the development and ongoing compliance with the School of Medicine’s goals and objectives.  

 

Primary responsibility is to coordinate activities for the medical student educational program for the Department of Anesthesiology, including:  

 

Provide management and guidance for the overall operation and process of anesthesiology undergraduate medical education, in conjunction with the Director, Assistant Director, and individual course directors of medical student education.  

Serve as primary point of contact for medical students taking any anesthesiology course or related education activity  

Assist the Director in the following monthly tasks for all anesthesiology courses:  

Develop/manage schedules/schedule requests  

Course management (BlueDocs, Canvas, Sakai learning management systems):  

Create access for students and faculty  

 Disseminate curricular materials (developing, revising, posting) 

Assignment tracking  

Updating/improving course materials (regular revision vs. improvement/innovation)  

Scheduling  

Student and faculty meetings (in person, room reservation, Zoom) 

Education sessions (lectures, problem based learning sessions, simulation and procedural activities, etc.) 

Clinical shadowing opportunities for medical students  

Maintenance of regulatory documents  

Student and faculty evaluations MedHub, Qualtrics (submission, revision/tracking)  

Liaise with the SOM registrar’s office for medical student registration and grade submissions  

Other SOM-required documentation  

Coordinate various other activities to aid the Director  

Assist medical students with their applications to anesthesiology residency (explaining application process, assistance with letters of recommendation, practice interviews, application packet review, etc.)  

Faculty educator monitoring/development (data gathering, presentations, reports)  

Oversight of the Duke Medical Student Anesthesiology Interest Group (coordination, meeting/sponsored event scheduling)  

Other medical student-related tasks (e.g., equity/diversity/inclusion issues)  

Collaborate with SOM staff and leadership to ensure best practices; maintain records of grade submissions in collaboration with Office of Curricular Affairs to maintain accreditation; ensure compliance with policies; assist in generating educational reports, revising educational policies, and ensuring compliance with accreditation.  

Seek opportunities to represent the department on SOM and departmental committees/meetings  

Collaborate with other departments and SOM offices to ensure the overall quality of medical student education.  

Collaborate in management assistance to other Education Office Program Directors, Program Coordinators, faculty, trainees, and staff as needed  

Collaborate in management with Canvas program for Anesthesiology Residency and Fellowship Programs under the guidance of Program Director and Program Coordiantors  

 

 

Education/Training

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

 

Experience

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

 

 

Anticipated Pay Range:

Duke University provides an annual base salary range for this position as USD $19.41 to USD $30.03.
