Position Purpose:

Under direct supervision, and/or the established office procedures of the department, transcribes reports, letters, and other material of a medical nature (i.e., pathology reports, and consultations) from dictation as well as handwritten copy.  Completes case histories, medical records, and reports.  Also performs secretarial role (i.e., schedules appointments, receives visitors) and relieves superior of some of the more routine and administrative tasks

What you will Do:

Applies knowledge of medical terminology, anatomy, and physiology along with rules of the English language. Reports include surgical pathology, cytopathology, bone marrow reports, kidney and muscle biopsies, clinical laboratory reports, monthly and annual reports, and medical audits.Maintains and orders supplies appropriately for laboratory and pathology. Uses reference materials and other resources appropri­ately and efficiently to facilitate the accuracy, clarity, and completeness of reports. Verifies patient information for accuracy and com­pleteness. Calls physician offices to verify patient name and admission date when necessary. Operates designated computer system and/or troubleshoots Dragon software.Uses designated equipment (computer systems, photocopying and facsimile equip­ment) effectively, skillfully, and efficiently. Maintains equipment and work area as directed. Assesses condition of equipment and reports need for replacement and/or repair.Can answer questions from physicians about the operation of the dictation system.Demonstrates an understanding of the medicolegal implica­tions and responsibilities related to patient reports to protect the patient and the health center.Understands and complies with policies and procedures related to medicolegal matters, including confidenti­ality of medical records, amendments of medical records, release of information, patients' rights and hospital and employee liability.Recognizes and reports unusual circumstances and/or information with possible risk factors to the appropriate supervisor. Recognizes and reports problems, errors and discrepan­cies in lab reports and patient records to appropriate supervisor.Pulls slides and prepares for weekly tumor boards. Pulls slides and blocks for send-out testing and for second opinion at request of pathologist or physician. Types a variety of material from rough draft, such as statistical reports, conference schedules, various forms, and letters. Performs a variety of secretarial duties, such as scheduling and confirming appointments, composing, and typing correspondence, and receiving visitors.Maintains medical and administrative files such as all medical reports for the Department of Pathology and departmental files as directed.

Minimum Qualifications:

High school graduate or equivalent required, knowledge of medical terminology.Must have a minimum of 1-2 years prior secretarial experience in health care setting, such as physician’s office, etc., doing medical transcription, filing of patient records and/or medical receptionist.Can communicate effectively with all members of the health care team. Can perform a variety of duties characterized by frequent change.Must have a general working knowledge of computers and department specific software (i.e. HealthStream, internet, etc.)Must be comfortable operating in a collaborative, shared leadership environment.Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Mercy and Trinity Health.​
