Medical Scheduling Supervisor - Patient Access Center

**Job Summary**
The PAC Scheduling Supervisor provides leadership and management oversight for all support services functions, including mail room operations, scanning, and document management. The Supervisor ensures the efficient operation of support services, manages resources, and develops training programs to improve workflow. This role supports day-to-day operations by troubleshooting issues, ensuring timely delivery of services, and coordinating supplies and equipment procurement.
**Essential Functions**
+ Oversees daily operations of the Patient Access Center (PAC), including mail processing, scanning, document storage, and distribution.
+ Ensures the accurate uploading of documents into systems such as iSynergy and QA Hyland OnBase, and maintains knowledge of scanning procedures.
+ Manages the procurement of supplies, including paper, toner, postage, and office supplies, and coordinates the pickup of confidential materials (PHI bins).
+ Provides leadership to support services staff, ensuring adherence to proper procedures for scanning, mail sorting, and document storage.
+ Troubleshoots issues related to scanning equipment, supply inventory, deliveries, and other support service functions.
+ Develops and maintains training materials and documentation to ensure staff are proficient in support services processes.
+ Provides training to support services team members and staff across departments, both in classroom settings and through individual instruction, to ensure consistent adherence to procedures.
+ Monitors performance metrics for support services operations and implements improvements to enhance efficiency and service delivery.
+ Collaborates with the Director of Facilities and Support Services on initiatives to optimize support services operations and enhance internal customer satisfaction.
+ Performs other duties as assigned.
+ Complies with all policies and standards.
**Qualifications**
+ H.S. Diploma or GED required
+ Associate Degree in Business, Healthcare Management, or Finance preferred
+ 2-4 years experience in the healthcare revenue cycle, support services, or facilities management required
+ 1-3 years experience in a supervisory role preferred
**Knowledge, Skills and Abilities**
+ Strong leadership and management skills, with experience overseeing support services operations.
+ Proficiency in document management systems and mailroom operations.
+ Excellent organizational skills, with the ability to multitask and prioritize tasks efficiently.
+ Strong communication and interpersonal skills, with experience developing training programs and providing instruction.
+ Problem-solving skills, with the ability to troubleshoot equipment and supply issues.
