JOB SUMMARY
Establishes and maintains patient medical records in accordance with established protocol and legal/judicial requirements at the Adult Detention Center. Performs a variety of administrative support functions.
MINIMUM QUALIFICATIONS
Two years of office support or clerical experience, which must include experience with medical terminology and protected health information (PHI), or an equivalent combination of education and experience.Experience working in a medical office maintaining records, providing administrative support, or billing is preferred.
Due to the nature of this position, the successful applicant must pass a required background investigation.
ESSENTIAL FUNCTIONS
+ Collects and files a variety of medical records into an electronic records system. Reviews files for accuracy, orderliness, proper categorization, and visual quality. Takes remedial action when necessary.
+ Researches, collects, and retrieves records to respond to internal and external requests. Ensures requested information is disseminated in accordance with HIPAA, HITECH, PHI, and GRAMA policies, statutes, and laws.
+ Schedules a variety of medical appointments and prioritizes based on medical need. Coordinates appointments with medical and program staff. Ensures medical records are available when needed.
+ Creates and maintains logs containing medical services provided.
+ Reviews medical charts for possible classification into available jail programs; safeguards jail records and verifies payment of required fees.
+ Prepares charts and paperwork, answers telephones, receives and distributes correspondence, and assists in other areas when needed.

+ Medical Terminology
+ General Office Procedures
+ HIPAA and HITECH, GRAMA, and other federal, state, and county statues, policies and confidentiality of medical records
+ Computer hardware and software related to job duties (OMS, RMS, Pearl)
+ SSI Website
+ Business English
+ Professional telephone etiquette
+ Word processing and spreadsheet programs
+ Sheriff’s Office and Jail Policies and Procedures
+ Public relations and communications skills
Skills and Abilities to:
+ Understand medical billing statements, documents, and communications
+ Apply general principles to specific conditions
+ Maintain filing systems for HIPAA, HITECH and National Commission on Correctional Health Care (NCCHC) standards
+ Communicate effectively both verbally and in writing
+ Receive, review, and retain confidential information in accordance with HIPAA, HITECH and GRAMA
+ Coordinate medical information and records with Federal agencies such as SSI, Medicare, etc.
