This role in the Office of Real Estate oversees day-to-day management of internal and external leasing functions, including new lease activity, lease renewals, lease tracking, and lease execution. Assists in portfolio management; maintains compliance with University and departmental standards and policies.
• Negotiates internal/external leases for University departments and University owned commercial space, including identifying space, coordinating services with outside landlords and internal departments, maintaining lease and project status trackers, and reading/interpreting leases for language and responsibilities.
• Coordinates aspects of lease functions performed by other staff. Works with internal and external groups to fulfill leasing requests and oversees lease obligations on behalf of the University.
•Resolves landlord/tenant issues as relating to lease obligations. Communicates with landlords and facilitates resolution of facility/maintenance issues with landlords, tenants, and facilities management, and works to identify and mitigate risks.
•Coordinates with administrative staff on tasks pertaining to rental payments, utility bills and the processing of operating expenses. Communicates with asset management group and facilities management pertaining to University owned space when commercial or internal lease issues arise.
•Maintains effective relationships with all internal and external parties related to the leasing functions being performed and provides prompt customer service.
•Analyzes data, prepares formal paperwork and notices, follows departmental and University procedures on documentation and paperwork flow and sees processes and projects through to execution, adhering to University and departmental compliance requirements.
•Represents Office of Real Estate as a collaborative and strategic partner and advocate.
•Provides oversight on tenant improvement fit-out projects and assists in facilitating space moves, working with departments and architects, as well as on minor renovations or miscellaneous projects.
• Understands and analyzes market data and Oakland real estate market conditions and investigates and reports on on-site conditions of spaces.
Employee reports to the Director, Real Estate Administration, who provides strategic priorities for this role. Supervision of tasks is provided as needed. Daily work is mostly done independently with minimal supervision. Employee exercises some discretion and independent judgment in significant matters.
Work is complex and strategic in nature, sets policy, anticipates trends. Decisions and actions have a direct impact on the operational and strategic outcomes of department or can impact a Responsibility Center or the entire University. High level of problem-solving skills, attention to detail, and ability to accurately articulate details are required.

The essential functions of this position require on-site visits to the various leased or owned space to collect and ascertain firsthand knowledge regarding the status of buildings and assignments which require some walking. Must be able to use telephone, operate computer, and copier.
