About the Role
At Harman we are seeking an ambitious , highly skilled Manager- and Front-office Assistant to be the right hand of our Site Leader. This role is pivotal in ensuring the seamless operation of our Budapest office and the effective support of the leadership
The ideal candidate will possess excellent English communications skills, a proactive approach, and a commitment to excellence.
What You Will Do
As it is a combined role of Front-office and office/manager assistant, we have separated the duties as well.
As a manager/executive assistant, you will do the followings:
Execution, oversight and coordination of all activities for the office of VP, Best Cost Analytics (our Site Leader) including all aspects of business operations for the related functions and stakeholdersOrganize agendas and make arrangements for the senior management team within BCA (Best-Cost Analytics) and Procurement all across the globeMaintain and follow-up the tracking system or department related databases including financial documents, progress reviews, task trackers and emailsPrepare internal and external presentations, reports, memorandumsSubmits reports specific to supervisor’s staff schedules and cost center transactions, maintaining this information on hand for direct communication. Expedite passports, visas, welcome letters and other international entry rules for many HARMAN sites. Submit expense reports on behalf of numerous staff members, approve and/or deny reports on behalf of supervisors, and have the ability to use discretion when approving or denying such reports.As a front-office assistant, you will do the followings:
Welcoming guests and colleagues in a friendly and professional manner in the front officeMonitoring office supplies and ordering new stationery, furniture, appliances and electronics as requiredOrganizing maintenance of out company to keep the office clean and safe and ensure its appliances are in good working orderReporting office progress to senior management and working with them to improve office operations and procedureProviding full administrative support of the local facility team, reportingOrganize incoming visitor’s travel and sustain a relationship between visitor and face of the company. Coordinate conferences, workshops and events at both a domestic and International levelSupport managing the life of the Site Budapest including, scheduling events, organization and development of the officeOversee the roadmap and execution of Functional and Site related events including Internal sessions, CSR activities and Employer BrandingWhat You Need
Masters Bachelors degree requiredAccording to the competency matrix current at all times.2+ years of related experience as an Assistant at a global organizationExcellent verbal and written communication and interpersonal skillsExcellent English knowledgeExcellent organizational skills in an executive environmentExcellent Considerable knowledge of principles and practices of executive administrationProject management skillsIntegrity and ability to maintain critical confidentialityProficiency with MS Office suiteWhat Makes You Eligible
Technical aptitude with the ability to engage in a variety of project work in the area of Finance or Procurement or EngineeringProven attention to detailExperience working in a fast paced and high pressure environment.Willingness to work in an office.What We Offer
