Specifically, manages the duties and responsibilities associated with our Document Imaging Unit, Legal Liaison Unit, Mail and Reproduction Units. Oversees NYCT Subways employees records and document collection, indexing/retention, and dissemination of copies of records and information as requested by Labor Relations, Law Dept. , Human Resources, and other Support Offices and/or Agencies (internal/external). Manages preparation of legal manifests, forwarding and retrieving records from storage retention and preparation of files for new employees and the transfer of employee files. Ensures all requests for mass reproduction of Operational literature is produced and distributed as required, while managing dissemination and courier activities for Service Delivery, Stations and Operations Support groups. Also works to maintain an efficient operation while providing outstanding customer service during all employee interactions. + Manages the duties and responsibilities associated with our Document Imaging Unit: Oversees NYCT Subways employees records and document collection, indexing/retention, and dissemination of copies of records and information as requested by Labor Relations, Law Dept., Human Resources, and other Support Offices and/or Agencies (internal/external). + Manages the duties and responsibilities associated with our Legal Liaison Unit: Responsible for the preparation of legal manifests, forwarding and retrieving records from storage retention and preparation of files for new employees and the transfer of employee files. + Manages the duties and responsibilities associated with our Reproduction Unit: Ensures all requests for mass reproduction of Operational literature is produced and distributed as required. + Oversees dissemination and courier activities for Service Delivery, Stations and Operations Support groups. + Coordinates with vendors regarding software installations, maintenance and upgrades. Maintains data for monthly reporting for all areas of responsibility. Continuous monitoring of trends to re-evaluate opportunities of improvement. Liaise with Security regarding the review/approval of employee access requests for respective support areas. General managerial duties. Education and Experience: Baccalaureate Degree in Business Administration or a related field; or an equivalent combination of education and experience may be considered in lieu of a degree. Five (5) years of full-time related experience, and two (2) years in a managerial/supervisory capacity Desired Skills: + Healthy knowledge of New York City Transit rules and regulations. + Strong written, verbal and interpersonal skills. + The ability to operate in a professional and confidential manner. + Demonstrates the ability to complete short and long-term projects efficiently and effectively. + Intermediate level of proficiency in Microsoft Office Suite (Excel, Word, Access, Outlook). + A solid background in an administrative/operations environment. Selection Method: Based on evaluation of education, skills, experience, and interview. All appointments, with the exception of the Department of Subways employees on MABSTOA payroll, will be made on the NYCT payroll.
