This role is for Varian- a Siemens Healthiness company and directly reports to the Head of Varian APJ.
Your tasks and responsibilities: You will support senior managers, schedule appointments and meetings, and write respective minutes and protocols; coordinates and establish all travel arrangements and reconcile travel and expense reports. You will answer, screen, and place phone calls; and manage in-and-outgoing correspondence. You will monitor all information flow, including maintaining paper and electronic files. You will prepare presentations, reports, statistical charts, and briefings. You will participate in projects and will be responsible for assigned tasks. You will assist in integration of new office technologies and systems as appropriate. You will support Townhall and event coordination as and when required. You will manage the company's office services which may include copy services, word processing, mail and distribution services, records retention, office reception, janitorial services, cafeteria staff, recreation services, utility services and communication systems (such as telephones and facsimile transmission systems). You will oversee general administrative staff and coordinates with necessary vendors to meet organizational needs. You will select, develop, and evaluate personnel to ensure the efficient operation of the function.You will perform all required management responsibilities including but not limited to: implementing the company's policies, programs, and guidelines and process well in Varian; ensuring employee productivity and growth; managing resources; knowing Varian's business; and maintaining functional, technical, and external market awareness necessary for managing immediate organization.Your qualifications and experiences: You hold a successfully completed bachelor’s degree or equivalent. You have at least 8 years of experience providing support at a senior management level; 3 years management experience or supervisory equivalent. You are proficient in computer skills and utilizing business tools such as: E-mail, Microsoft Word, Excel, and PowerPoint. Experience with HCM (e.g., Workday) or equivalent ERP product and productivity software will be preferred. You have knowledge of standard office administrative practices and procedures. You have strong organizational and planning skills; have experience working on issues of diverse scope where analysis of situation or data requires evaluation of a variety of factors, including an understanding or current business trends. Follow processes and operational policies in selecting methods and techniques or obtaining solutions. Your personality and skills: You have strong communication and people skills; Interaction normally involves matters between functional areas, other company divisions or units, or customers and the company. Often must lead a cooperative effort among members of a project team. You demonstrate initiative, have good follow up and able to maintain confidentiality. You are cooperative, have attention to detail and accuracy. Working Location: Singapore
