Maintenance Support Coordinator (Small Tools)

Provide coordination support for the Charlotte Shop/Small Tools Department: focusing on the operational needs for the department and supporting administrative initiatives as applicable. Key areas of support include communication & collaboration, field maintenance, yard and warehouse organization, rentals, and record keeping. Primary responsibilities also include coordination of pulling orders, checking equipment in, and assisting drivers so they can get off the yard quickly.

Responsibilities:

Communication & Collaboration:

Greet guests to the shop, receive vendor deliveries, assist mobilization team with loading/unloading assets. Maintain polite and professional communication via phone, email, and mail. Provide assistance when non-routine tasks arise. Work closely with Manager on scheduling repairs and deliveries based on field needs and inventory status Take clear notes, set deadlines, and be accountable for ongoing projects

Field Maintenance:

Perform equipment inspections in the field Assist with and execute cyclical inventory procedures. Documenting maintenance and calibration procedures in Tenna.

Warehouse Organization:

Work in Tenna software system for tracking small tool and light equipment order requests and repair histories. Coordinate pulling equipment for upcoming orders, checking equipment back in and assessing condition for maintenance. Coordinate maintenance of warehouse organization and inventory locations Coordinate yard maintenance and organizational tasks Assist with loading and unloading trucks and getting the driver off the yard quickly. Assist with parts runs and any urgent requests. Develop and implement procedures for ensuring that adequate shop supply, tooling and recurring parts inventory levels are present. Audit the facility’s entire inventory on a regular basis and provide reports to management. Continuously evaluate ordering, receiving, and inventory processes and make recommendations for efficiency improvements.

Rentals:

Monitor rental fleet levels and provide insight on trends and communicate need for owned fleet growth. Monitor rental house portals for relevant data. Communicate relevant rental details to: PMs, PEs, Foreman, Superintendents, and Division managers. Also, internally in the equipment division for returns, swaps etc.

Warranty:

Files parts warranty claims with manufacturers when defective parts are found. Help ensure that warranty details are up to date in Viewpoint and Tenna.

 Qualifications:

College degree or equivalent industry experience.  Self-starter, detail oriented with strong organizational and interpersonal skills. Strong written and verbal communication skills. Good decision making and problem-solving skills -ability to resolve problems involving several variables with limited supervision Ability to work as a team member. Ablility to work in a fast-paced environment while juggling multiple projects/tasks and meet deadlines under pressure Must be able to convey information by telephone, email, and in-person; and effectively communicate in one-on-one and small group situations, which may include customers, vendors, and/or other employees Basic math skills required, and must be able to accurately calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages Proficient in Microsoft Office Suite software programs, email and intranet usage Ability to have a flexible work schedule, including working over and weekends as needed. Must have of a valid driver’s license and maintain driving record compliant with MVR policy guidelines.

 

Work Environment:

Work is performed in both an office setting as well as outside in all types of environmental conditions. This position must be able to lift, carry, stand, walk on uneven surfaces, manually manipulate, grasp, reach out and above shoulder, climb, kneel, bend, twist, and push/pull.
